About the role

Office Administrator

Full Time – Contract Position (18 months)

GNAG is seeking an organized, outgoing, and customer-focused Office Administrator to lead our front desk operations and support the day-to-day administration of our busy community centre. This role is ideal for someone who enjoys working with people, thrives in a fast-paced environment, and has strong organizational and leadership skills.

Reports to the Office Manager and occasionally the Executive Director.

Starting salary: $53,000.00 - $57,000 per annum

Full-time, on-site (Ottawa) expectation of 40 hours per week Monday - Friday (includes regular shifts at the front desk.) (Evenings and weekends for special events and occasional front desk shifts) Candidates must be legally eligible to work in Canada.

Proposed start date: August 17, 2026

End Date: March 2028 (exact date tbd)

CUSTOMER SERVICE

Recruits, supervises, trains, and schedules GNAG’s Customer Service Representatives (CSR).

Manages annual CSR Budget

Works with the programming team to ensure the front desk schedule aligns with scheduled GNAG programs and prepares the monthly schedule in accordance with the Employment Standards Act (ESA). Ensures CSRs provide a welcoming environment for members of the public, staff and instructors. Receives and responds to enquiries. Analyzes and responds to requests and if needed, routes the request to the proper person while maintaining confidentiality. Liaises with the City of Ottawa to ensure CSR best practice, open communication and management of shared front desk duties. Covers CSR shifts when scheduled staff are unavailable and a replacement cannot be found, if possible.

OFFICE ADMINISTRATION

Tackles administrative problems and implements process solutions. Manages and processes all daily incoming and outgoing email to general GNAG inboxes such as info@gnag.ca and regular mail. Manages summer camp and program waitlists and registration in collaboration with the Office Manager. Works with the programming team to ensure welcome emails are sent to clients for all programs. Manages liability waiver tracking for programs and camps. Includes data entry, word processing, photocopying, scanning, mailing, filing while keeping information organized and accessible. Maintains up-to-date contact lists for all staff, instructors and volunteers. Ensures the CSR team maintains a tidy office space and foyer, that they are kept clean, organized and free of hazards. Ensures GNAG public notice boards are up to date. Ensures ongoing general office equipment maintenance in collaboration with the Office Manager. Maintains adequate office and general supplies in collaboration with the Office Manager. Keeps the Management team up to date on any customer service complaints or issues. Supports administrative duties assigned by Executive Director including: grant support, demographic reviews and social media support etc.. Assists leadership team with gathering statistics on seasonal attendances, inventory, and prepares other statistical reports as required.

EVENTS

If available, sits on a GNAG fundraising or event planning committee. As required, is present at fundraising events to assist with setup, organization and implementation.

FINANCIAL

Manages Petty Cash in consultation with Financial Administrator Administers monthly before school and after school childcare (Breakfast Club and Quest-4-Fun, BC/Q4) payments, including payment history, record retention, and applicable tax receipts. Coordinates Accounts Receivable communication and payments for sponsorships and donations from fundraising and private donors.

OTHER

Teaches at least one program or workshop annually in accordance with skills and interests.

EDUCATION AND CERTIFICATES

University Degree in administration, business, communications , or a related field of study, or a related Community College Diploma combined with a minimum of 2 years full‑time related experience, or a minimum of 5 years full‑time related experience.

Demonstrated ability in

staff management client experience skills some financial background is an asset staff training report writing public relations personal computer operation Having a valid license and occasional use of an automobile is an asset.
