About the role

Your future role on our team

We are currently seeking an Office Coordinator for BBA’s office in Fort St. John, BC. This role is hybrid and will require you to be in the Fort St. John, BC office part of the time. The Office Coordinator, you will support our Electrical Field Services team with project organisation and logistics. You will be coordinating high voltage test equipment calibration tracking, shipping and receiving, and inventory, while maintaining the office in Fort St. John, BC and contributing to project data manage and document preparation.

  • Track and coordinate the calibration schedule for high voltage test equipment, ensuring all equipment meets regulatory and safety standards.

  • Manage shipping and receiving of test equipment, including documentation and logistics for equipment sent to and from project sites.

  • Maintain an up-to-date inventory of test equipment and coordinate allocation and delivery to crews working on various projects.

  • Serve as the main point of contact for project teams regarding test equipment needs, troubleshooting, and logistics.

  • Based on each mandate, establish benchmarks for content, scheduling, and deliverables by package.

  • Organize and analyze preliminary project reports. You will then present these suggestions to Project Leaders for their review and approval.

  • Serve as the administrative liaison between Project Managers/Leaders and the billing team.

  • Manage safety training database.

  • Assist in the maintenance and updating of technical documents.

  • Revise and format documents, such as specifications, plans, reports and proposals.

  • Receive employee requests and and, where necessary, refer employees to the appropriate resource.

  • Make travel reservations, where necessary

  • Organize and plan meetings

Overview of certifications and job requirements

  • High school diploma or higher certification.

  • 3 to 5 years of relevant experience

  • Able to quickly analyze project progress curves, budget and schedule variances, etc.

  • Proficiency in English, both spoken and written

  • Excellent knowledge of Microsoft Office, Excel in particular

  • Asset: Knowledge of Primavera and Maconomy (ERP)
