About the role

Job Overview:
We are currently recruiting for an Office Administrative Assistant to support our Estevan Office with a diverse set of duties including front-desk reception, general administration, office coordination and event planning In this position, you will be the welcoming face to employees and visitors ensuring a great first experience.

Position Responsibilities:

  • Clean, maintain and organize kitchens and meeting rooms including refrigerators, microwaves, and coffee machines
  • Manage inventory for coffee supplies, office supplies and food supplies
  • Provide mail and courier support for office
  • Welcome visitors and guide them through safety protocols
  • Assist with inquiries and requests from employees and visitors
  • Complete Open Invoice coding for Operations / Finance
  • Support the Pipeline Operations & Maintenance Services Monday Morning Meetings, attend meetings, record minutes for distribution electronically
  • Administrator On-Call schedule
  • Administration of staff and phone lists
  • Administrate mobile door access to the Estevan office when required
  • Coordinate monthly office and department lunches as needed
  • Support United Way as needed
  • Provide various administrative support to other departments as required
  • Adherence to all company policies, guidelines and procedures

Skills and Qualifications:

  • Previous experience in a front desk or administrative role considered an asset
  • Post secondary degree or diploma considered an asset
  • MS Suite intermediate skills in Word, PowerPoint, Outlook, Excel, and MS Teams
  • SharePoint experience would be considered an asset
  • Must be able to lift and carry up to 25 pounds, bending to move items/files as well as use step stools/ladders
  • Ability to communicate with a variety of groups such as leaders, vendors, and employees
  • Detail oriented with strong organizational skills
  • Problem solving and analytical skills
  • Ability to think critically and efficiently
  • Exceptional capabilities when handling sensitive and confidential information with discretion
  • Excellent verbal and written communication skills
