In working to achieve this vision, the Office of the Registrar and Enrolment Management (OREM) places students at the centre of operations and supports students to achieve their academic and life goals. Individual connections with OREM team members and services, as well as interactions with on-line services, contribute to students’ growth in knowledge, independence and confidence. Registrarial services strive to directly support students’ success in their university studies, campus life and subsequent life pursuits. The range of services provided by the units within the OREM appear at every point in the student life cycle, beginning with recruitment and admissions, all the way through to convocation. Members of the OREM team strive to be consistent in their interpretation, communication and application of regulations, policies and procedures while being both professional and respectful of the diversity and complexity of needs across the university campus. The OREM interacts with staff, students, faculty, university and external community members in order to assist in the delivery of core services that cross operational and departmental boundaries (e.g., registration, class and exam scheduling). It is important that students and our university colleagues are well-informed and well-supported by the OREM and the services offered.
*This position is eligible for a Hybrid Work Arrangement*
The salary range for this position is:
- Recruitment range: $65,860- $72,607 starting salary determined by the PEA Collective Agreement.
- Performance range: $85,633 salary range ceiling is available through annual performance increases.
Job Summary
The Academic Advising Centre helps undergraduate students in the Faculties of Humanities, Science and Social Sciences at the university navigate and ensure that their graduation requirements are complete, whether they are newly admitted, first year or current undergraduates.
The Academic Adviser is part of the team responsible for developing and delivering academic success programs (including retention initiatives) as well as other programs, initiates and events hosted by Student Affairs and/or the university that support students in these faculties. Advisers may act as generalists and/or hold/be a subject matter expert for an assigned student population.
The Academic Adviser actively consults with students using a developmental approach to provide information, referrals and advice that will support students' planning and decision-making as it relates to their degree and life choices and with a focus on increasing student's skills and developing a shared understanding of the student's, Academic Adviser's and University's responsibilities. The day-to-day work of Academic Advisers includes responding to a broad range of queries from students, parents, faculty and staff, including telephone and email advising inquiries. In addition to providing services, the Academic Adviser is responsible for a large portfolio of Advising related administration.
As a result of the nature of the duties and responsibilities of this position, occasional evening and weekend work may be required.
Job Requirements
A bachelor's degree and at least 2 years academic advising experience that includes using student record systems and MS Office (Word, Excel, PowerPoint) effectively and demonstrated communication, writing and presentation skills; and
Related experience communicating with students, including creating a virtual presence through the use of websites, social media, video production; delivering workshops and presentations; organizing major events and/or programs within a higher education environment;
(For targeted population positions, e.g. International) Has experience advising students in higher education for that population.)
Equivalent combinations of education, training and/or experience may be considered.
Preference may be given to applicants with experience or thorough knowledge of the University of Victoria's academic programs, policies and procedures.
In addition, this position requires:
- a genuine interest in the student experience;
- a commitment to UVic's strategic goals regarding student recruitment and retention.
- a dedication to maintaining a high level of accuracy;
- the ability to communicate effectively and engage others to effectively collaborate and achieve results;
