Role Overview
We are looking for a detail-oriented Knowledge Management & Process Documentation Specialist to lead the setup and ongoing management of Encepta’s knowledge management systems. This role will create structure, tools, and processes that help our teams capture, organize, and access critical knowledge across the organization. The right candidate thrives on detail, enjoys creating order out of complexity, and can balance technical writing with change management to keep the organization aligned.
Key Responsibilities
- Knowledge Systems Setup & Management
- Establish and maintain Encepta’s documentation structure in Notion and Google Drive.
- Ensure consistency, version control, and clarity across all knowledge repositories.
- Template & Tool Development
- Design and maintain templates, trackers, and standardized tools for process documentation.
- Support adoption by making tools easy-to-use and intuitive.
- Process Documentation Support
- Partner with technical SMEs to translate expertise into clear, standardized documentation.
- Review and refine documentation for clarity, completeness, and alignment with company standards.
- Change Management
- Coordinate the rollout of new documentation processes across the organization.
- Communicate updates and drive adoption through training, guides, and ongoing support
- Alignment & Quality Assurance
- Maintain shared terminology and documentation practices across all teams.
- Track and enforce adherence to standards to keep the organization aligned.
Qualifications
- 3–5 years’ experience in knowledge management, process documentation, technical writing, or a related field.
- Strong skills in Notion, Google Workspace (especially Google Drive), and documentation tools.
- Experience creating templates, process maps, or SOPs.
- Excellent attention to detail and organizational skills.
- Strong communication and collaboration skills — able to work with both technical and non-technical teams.
- Change management or continuous improvement experience is an asset.
