POSITION FUNCTION:
The Program Assistant provides administrative support to the WorkBC centre; and is the primary substitute for the Client Service Worker and Employment Resource Advisor when absent. This role is a hybrid of administrative tasks and client supports; it requires MS Office skills, clear communication, and solid understanding of WorkBC policy and services. In addition, you will be responsible for initial point of contact for visitors to the center. Register clients, book appointments, and respond to inquiries in person and over the phone. Furthermore, as coverage for the Resource Room Advisor, you will troubleshoot computer issues, update the job board, provide feedback on the job search, as well as additional administrative support to WorkBC Centre staff/management.
KEY DUTIES AND RESPONSIBILITIES:

Answer phone call inquiries of program/service information, and transfer calls.

Support clients in the resource room, assist with computer usage, job search techniques,
online applications and resume creation.
-
Support/determine eligibility criteria of client for self-service or case management services.
-
Assist clients to register for services through the Online Employment Services (OES) portal.
-
Resolve incoming and outgoing Service Requests (SRs) – Prospect Matching.
-
Access employment and community related information and supports, as well as government programs or benefits, clients may benefit from.
-
Provide and assist with job search and job start financial supports to clients.
-
Order office, kitchen, and program supplies.
-
Manage petty cash, ensure receipts are obtained.
-
Book interpretation and translation services for clients and Employment Counselors.
-
Conduct in-person and virtual information sessions to provide details on program/services.
-
Provide back-up coverage and support for the Client Service Worker/Employment Resource Advisor.
-
Provide back-up coverage and support to the Financial Support Clerk. Purchase e-gift cards, gas cards, and compass tickets for clients' supports/incentives.
QUALIFICATIONS:
-
Completion of secondary school, and completion of a one or two-year college or other program for administrative assistants, and/or comparable experience.

Demonstrated experience in providing customer service, resolving issues both in person and
in a virtual service delivery environment. -
Facilitation skills
-
Experience working with individuals with complex barriers and a broad range of cultural backgrounds.
-
Current and satisfactory Criminal Record Check required.
-
Proficiency with MS Office suite, databases, and standard office equipment.

Strong written and verbal English communication skills

Cultural awareness

Ability to problem-solve/troubleshoot

Tactful, discrete, diplomatic, patient, flexible

BONUS SKILLS/CERTIFICATIONS:

COMPENSATION: $24.82 - $25.70 per hour
HOURS: Full-time, 35 hours/week
The successful candidate must be able to commute to our North Delta and Ladner-South Delta WorkBC offices.
Able to work one Saturday a month on a rotating basis.
BENEFITS:
A competitive benefits package is provided with contracts of at least 1 year in length and which offer a minimum of 17.5 hours of work per week.
