POSITION SUMMARY
UHN Foundation is hiring a Manager, Business Operations to ensure the seamless day-to-day operations of our Foundation offices and Donor Services team. This role is instrumental in shaping the employee experience and setting the tone for every donor interaction. By leading a highly visible team and function, the Manager cultivates a welcoming, professional, service-oriented environment while driving efficiency in both office operations and donor services. The goal is a consistently responsive and exceptional experience for all donors and stakeholders, aligned with the Foundation’s mission of operational excellence, while fostering a positive and inclusive workplace.
KEY RESPONSIBILITIES
Office Operations
Coordinate and oversee daily office operational and facility needs, ensuring office resources and processes support organizational efficiency; develop, implement and maintain relevant procedures and best practices as required. Lead office space planning and utilization efforts, coordinate renovations and operational improvements. Serve as the primary liaison with UHN facilities and external vendors; ensuring service agreements meet organizational requirements, including permitting and certification requirements. Oversee office maintenance and repair schedules, minimizing disruption to the Foundation’s day-to-day operations. Monitor and anticipate general office supply and equipment needs, overseeing management of inventories and their procurement. Responsible for building the Business Operations budget and managing expenditures against approved spend; identifying opportunities for efficiencies and cost savings.
Customer Service
Foster a collaborative, service-oriented team culture focused on professionalism and continuous improvement, ensuring high-quality donor and customer service standards are consistently maintained. Monitor workflows, service levels, and team productivity to ensure timely response to donor inquiries and office requests; continuously identify opportunities to enhance donor service processes and service delivery. Manage escalation of complex donor or staff concerns ensuring timely resolution.
Health, Safety, and Workplace Support
Support workplace health and safety programs and emergency preparedness activities, ensuring compliance with applicable workplace safety procedures. Responsible for office physical security measures, including employee and visitor access, key/card management, security incident reporting, and compliance and monitoring of workplace security policies. Promote a safe, organized, and positive work environment for employees and visitors.
Leadership
Provide day-to-day leadership, coaching, and supervision to the Receptionist, Senior Donor Services Administrator and Foundation’s Operations Coordinator. Establish performance expectations and support employee development through regular feedback and coaching; includes leading hiring, training and performance management activities for direct reports.
QUALIFICATIONS & EXPERIENCE
Minimum 5 years of experience in operations and facilities management, including tenure at a mid-sized organization (100-250 employees); experience managing multiple locations (2+) considered an asset. Excellent customer service and relationship management abilities, including previous experience leading, coaching and developing administrative or customer service teams. Strong organizational, planning, and problem-solving skills, including the ability to manage multiple, often unexpected, priorities in a dynamic environment. Possess strong written and verbal communication skills, with demonstrated use supporting proactive and clear information sharing and management of stakeholder expectations.
WORK ENVIRONMENT
Fast-paced, service and results oriented environment. May have some activity outside of regular office hours to support operational needs. The Manager, Business Operations is expected to be on site 5 days a week, Monday through Friday at our office located within Toronto General Hospital. Ability to work cooperatively with colleagues in all positions throughout the Foundation. Shared commitment and support of the overall Foundation goals.
