##Qualifications

MINIMUM FORMAL EDUCATION/TRAINING REQUIRED:

  • Masters degree in a related study area with two years = directly-related experience

OR

  • Bachelors degree in a related discipline with five years = directly-related experience.

OR

  • Completion of a Community College course in a related discipline with six years = directly-related experience.

EXPERIENCE:

  • Minimum two (2) years of progressively responsible experience in process improvement, organizational change, or implementation within a healthcare, academic, or public-sector environment.
  • Strong understanding of Lean/Six Sigma, data-driven decision-making, stakeholder facilitation, and excellent communication skills.
  • Demonstrated experience analyzing and improving workflows, policies, and procedures using process-mapping and data-driven approaches.
  • Experience leading or supporting multi-stakeholder initiatives involving clinicians, administrators, researchers, and community partners.
  • Experience developing and coordinating advisory boards or working groups, including recruitment, meeting facilitation, documentation, and communication with diverse members (e.g., staff, patients, or public safety personnel).
  • Experience designing and implementing communication and engagement strategies to support change initiatives across diverse stakeholder groups.
  • Experience in a University setting.
  • Experience developing project documentation, dashboards, and progress reports for leadership and funders.
  • Experience working with confidential data in compliance with PHIA or equivalent privacy standards.
  • Experience with data collection and reporting tools (REDCap, Excel, SPSS, or equivalent) preferred.
  • Experience working in a mental health environment is preferred.
  • Experience in mental health or healthcare service delivery environments, or with public safety personnel, is considered an asset.
  • An equivalent combination of education and experience may be considered.

SKILLS AND ABILITIES:

  • Strong understanding of process-improvement methodologies (Lean, Six Sigma, PDSA cycles) and change management principles is required.
  • Excellent facilitation and interpersonal skills to engage program leaders, staff, clinicians, advisory boards, and community partners in process-mapping and solution design is required.
  • Ability to assess current workflows, identify bottlenecks, and co-create process redesigns that improve efficiency and quality is required.
  • Skills in developing and executing communication plans tailored to internal and external audiences are required.
  • Demonstrated ability to coordinate advisory board logistics (agendas, minutes, follow-up action plans) and maintain meaningful engagement with members is required.
  • Exceptional organizational and time-management skills; able to manage multiple concurrent projects and deadlines are required.
  • Ability to collect, interpret, and present data clearly to inform evidence-based decision-making is required.
  • Strong written and verbal communication skills, including preparing reports, summaries, and visual process maps are required.
  • Demonstrated ability to work independently with minimal supervision and collaboratively in interdisciplinary teams is required.
  • Proficiency with Microsoft Office Suite and data-analysis tools is required.
  • Ability to maintain confidentiality and exercise sound professional judgment is required.
  • Initiative and flexibility to adapt to evolving organizational needs and emerging priorities is required.
  • A satisfactory work record, including satisfactory attendance and punctuality, is required.

##Key responsibilities

Responsibilities:

PROCESS IMPROVEMENT AND IMPLEMENTATION

  • Leads and coordinates process mapping and service flow redesign for Interventional Psychiatry operations.
  • Identifies bottlenecks and inefficiencies and develops business solutions to improve service delive1y, communication, and user experience.
  • Develops and applies process improvement tools (Lean, Six Sigma, or equivalent frameworks).
  • Collaborates with teams to implement and monitor new systems and workflows.
  • Tracks implementation milestones and reports progress to leadership and funders.

STAKEHOLDER ENGAGEMENT AND CHANGE MANAGEMENT

  • Facilitates meetings with stakeholders including Shared Health, provincial Interventional Psychiat1y partners, and internal project teams.
  • Support change management planning for new service rollouts, including communication strategies and feedback loops.
  • Develops and maintains communication materials to support implementation and stakeholder buy-in.
  • Coordinates consultation and engagement with participant advis01y boards and partner agencies.

RESEARCH, EVALUATION, AND REPORTING SUPPORT

  • Coordinates research and evaluation, including observational studies, surveys, in-person questionnaires, qualitative interviews, and chart reviews.
  • Supports integration of evaluation metrics within implementation frameworks.
  • Collaborates with the research team to ensure that process and outcome data are aligned with evaluation and rep01iing requirements.
  • Assists in preparing rep01is and presentations for funders, leadership, and advisory committees.
  • Contributes to manuscripts, presentations, and knowledge translation outputs related to system change and evaluation.
  • Prepares and manages ethics, privacy and data access applications as well as renewals.
  • Manages and oversees complex databases including REDCap for multiple projects.
  • Analyses and interprets complex data and statistics (qualitative with NVivo, quantitative with SPSS).
  • Search for grant opp01iunities and prepares draft proposals including hypothesis and methodologies.
  • Supports faculty member with complex portfolio of multiple projects.
  • Reports to supervisor weekly on progress with projects.

PROJECT MANAGEMENT AND COORDINATION

  • Coordinates multi-site or multi-partner implementation initiatives.
  • Develops and monitors project plans, timelines, and deliverables.
  • Tracks budgets and expenditures for assigned initiatives.
  • Maintains up-to-date documentation for all process improvement and implementation projects.

TRAINING AND KNOWLEDGE TRANSFER

  • Provides training and mentorship to staff and students in REDCap, ethics submissions, data analysis, process improvement and change management principles.
  • Supports facilitation of workshops and stakeholder training sessions related to implementation best practices.
  • May be required to perform related duties not exceeding skills and capabilities as required.
