Your Role

Reporting to the Business Professional Talent Leader, the Human Resources Coordinator will support core HR functions including onboarding, recruitment, and people changes. This role is ideal for someone who thrives in a fast-paced environment, is highly organized, and is committed to client service excellence.

Hours of work are from 9:00 a.m. to 5:00 p.m. Occasional pre-authorized overtime may be required to meet business needs. This is a hybrid role requiring three (3) days in office.

Primary Responsibilities

  • Manage processes and HRIS updates related to people changes, including onboarding, offboarding, adjustments, etc.
  • Participate in the bi-weekly Payroll cycle to ensure all updates in the pay cycle are accurately captured, and compile supporting documentation for audit compliance.
  • Support recruitment activities including initial candidate screening, background and reference checks.
  • Coordinate new hire onboarding and ensuring the smooth execution of all orientation activities.
  • Process payments for expenses, invoices, and program reimbursements.
  • Ensure electronic filing is completed accurately and thoroughly, following appropriate standards and naming conventions.
  • Collaborate with internal and external partners to organize recognition initiatives for service milestones and life events.
  • Prepare documentation as requested, including employment confirmation letters, reference letters, etc.
  • Serve as the first point of contact for the shared HR inbox, responding to HR-related inquiries and maintaining inbox organization and follow-up tracking.
  • Seek out innovative solutions and opportunities to streamline work processes, build best practices, and enhance program delivery.
  • Additional duties and projects as assigned.

Required Knowledge and Experience

  • Successful completion of a post-secondary diploma or degree in Human Resources or related field (CHRP designation is an asset)
  • Minimum of 1-2 years of related experience in a matrix or professional services environment
  • Excellent verbal and written communication and interpersonal skills
  • Exceptional attention to detail, with demonstrated accuracy in data and document management
  • Strong time management skills and the ability to prioritize tasks in a fast-paced environment.
  • Understanding of HR procedures and policies, knowledge of Ontario’s Employment Standards Act, 2000, the Human Rights Code and the AODA
  • Ability to work under pressure and meet tight deadlines, both independently and as part of a team
  • Proficiency with Microsoft Office Suite, and experience with UKG or other HRIS systems
  • Ability to handle sensitive information with a high level of professionalism and confidentiality
