About the role

Boss isa major manufacturer, wholesaler and distributor of premium industrial and commercial lubricant products, supplying them throughout Central and Western Canada and the Northern and Central United States. With our continued growth strategy and our goal to maintain our reputation in Western Canada, we are looking for an Office Administrator to join our team to help them achieve greater efficiencies and maximize production levels to satisfy increasing demands. We are looking for someone who has courteous customer service skills, portrays a professional image and first smile for all incoming visitors to BOSS.

SCOPE

Through courteous customer service skills, portray a professional image and first smile for all incoming visitors to BOSS. The incumbent of this position will handle BOSS’ mail, phones, fax, couriers, day-to-day general administration and direct all visitors and walk-in clients to the appropriate personnel.

RESPONSIBILITIES

Phones/Customer Inquiries

  • Answer incoming calls, transfer to the appropriate personnel, and take messages when needed.
  • Assist customers with inquiries or redirect to Sales staff.
  • Coordinate with staff to minimize delays in customer inquiries.
  • Page warehouse for product delivery assistance.
  • Respond to delivery status inquiries and monitor client portal.
  • Transfer orders to Chempax, create new ship-to addresses, and invoice orders.
  • Update order details in Excel spreadsheets (e.g., product, delivery dates, client numbers).
  • Coordinate with VMI customers and create orders in client portals.
  • Track deliveries and rebranded product status.
  • Sort, distribute, and prepare outgoing mail for appropriate shipping methods.

Invoicing & Deposits

  • Process bank and cash receipt deposits.
  • Handle payments via Visa and update daily spreadsheets.
  • Assist with invoicing and accounts receivables.

Administration & Office Support

  • Enter work orders, order requests, and bills of lading into the system.
  • Support Sales/Branch Manager with mail-outs and client data entry.
  • Maintain office equipment and boardroom reservations.
  • Create and manage client account databases.
  • Assist with general office duties and other tasks as needed.
