Wage: $15.00

Hours: 35 hours per week

Position Overview:

We are seeking a detail-oriented and tech-savvy student to support the development of a comprehensive data organization framework to be used across the organization. This role will focus on creating standardized naming conventions for electronic files, designing efficient digital filing structures, and building streamlined workflows that enhance data quality, accessibility, and operational efficiency.

The position is ideal for a candidate interested in information management, business processes, digital organization, or administrative technologies.

Key Responsibilities:

  • Create clear, user-friendly naming systems for documents, folders, and digital assets across multiple platforms.
  • Analyze current storage practices and implement improved folder hierarchies and file organization strategies for easy navigation and long-term sustainability.
  • Identify inconsistencies, duplicates, and barriers to access. Recommend and implement solutions to ensure files are accurate, current, and easy to locate.
  • Develop simple, repeatable workflows that support efficient file creation, storage, sharing, and retention.
  • Produce user guides and documentation that support staff training and long-term adoption of new standards.
  • Work with staff from various departments to understand needs, gather requirements, and ensure the new systems are intuitive and practical.
  • Test new workflows and structures to confirm functionality and ease of use before rollout.

Qualifications

  • Current student in a program related to Information Management, Business Administration, Data Management, Computer Science, or a similar field.
  • Strong attention to detail and excellent organizational skills.
  • Ability to analyze existing systems and identify opportunities for improvement.
  • Comfortable with digital tools such as Microsoft 365, SharePoint, Google Workspace, or other cloud-based file systems.
  • Strong communication skills, including the ability to explain technical processes in simple terms.
  • Ability to work independently, manage timelines, and balance multiple tasks.
  • Experience with workflow mapping, metadata practices, or document management is an asset.

Education Requirement:

  • Post-secondary education in progress or recently completed preferred
