Legal eBilling Analyst

Accountabilities:
- Invoice Governance: Review, validate, and process legal invoices to meet billing guidelines and organizational safeguards, ensuring timely, accurate payments and clean audit trails.
- Vendor Management: Set up vendors, maintain vendor records, and handle payments to strengthen relationships and prevent delays or exceptions.
- Data Integrity and Reconciliation: Examine and balance billing data, proactively resolve discrepancies, and elevate issues to maintain a single source of truth.
- Reporting and Insight: Build and maintain dashboards and reports that surface trends, support forecasting, and guide action on spend performance and process improvements.
- Policy and Compliance: Supply to billing policy design and implementation, ensuring alignment with regulations and internal controls while reducing risk.
- Budgeting and Forecasting Support: Provide information and insights that help the legal department plan, forecast, and lead accruals with precision.
- Cross-Functional Collaboration: Partner with Finance and other teams on month-end close, financial reviews, and tax submissions to accelerate close cycles and improve visibility.
- Issue Resolution: Research, respond to, and resolve billing inquiries from both company personnel and outside parties, advancing sensitive matters appropriately.
- Process Optimization and Automation: Find opportunities to streamline workflows, use technology, and standardize practices that drive speed and accuracy over time.
Skills/Experience:
- Lead vendor setup and vendor payments
- Review and process invoices from external law firms and vendors, ensuring accuracy, completeness, and adherence to billing guidelines
- Supervise and track the status of invoices, payments, and accruals, and follow up with relevant parties within and outside the organization as needed
- Prepare and maintain billing reports and dashboards, providing insights and recommendations on billing trends, performance, and opportunities for improvement
- Analyze and reconcile billing data, identifying and resolving discrepancies and errors
- Assist with the development and implementation of billing policies, procedures, and guidelines, and ensure compliance with internal controls and external regulations
- Support the legal operations manager and the legal team with budgeting and forecasting activities, providing data and analysis on billing and spending
- Collaborate with the finance department and other cross-functional teams on billing related matters, such as month-end closing, audits, and tax filings
- Research and respond to billing inquiries and issues from internal and external customers, and advance sophisticated or sensitive cases as appropriate
- Contribute to the continuous improvement of the billing process and system, leveraging technology and automation to enhance efficiency and accuracy
Desirable Skills/Experience:
- Experience with legal eBilling platforms and matter management tools, and familiarity with UTBMS/LEDES billing standards
- Strong proficiency in Excel and data visualization tools to build dashboards and trend analyses
- Knowledge of ERP systems and financial close processes, including accruals and reconciliations
- Track record of process improvement, automation, and documentation in a controls-driven environment
- Confident stakeholder management and communication skills across Legal, Finance, and external firms
- Comfort working at pace, balancing multiple priorities, and driving outcomes in a dynamic, evolving setting
