Reporting to Manager, HRIS, the HRIS Coordinator is responsible for managing the overall coordination and maintenance for all employee electronic records, scheduling and payroll, works collaboratively with front line managers to plan for all operational workforce staffing needs.
What will you do?
Ensures confidentiality, set-up and maintenance of data integrity in the HRIS systems for all employees; Provides position management in HRIS systems, includes position tracking as well as updating changes to employee records and payroll information, employees’ demographics such as phone numbers, address and emergency contacts and organizational details such as report to, functional Centre and specialty, etc.; Manages the AWAY line, creates and provides daily absence log to relevant stakeholders; Maintains accurate records for planned and unplanned absences for all employees. Updates and maintains HRIS applications to reflect changes to policies or collective agreements, that includes but not limited to payroll, leaves, benefits, vacations, , Administers and maintains the employee data base by enrolling employees, updating benefits and pension, processing salary updates, status or branch changes, removing terminated or retired employees from the system, processing information required for payroll, updating vacation levels and processing confidential leave information; Administers and maintains seniority for all unionized employees based on the collective agreement. Prepares reports to ensure the accuracy of staffing and schedules; Maintains and creates scheduling templates in compliance with employment contracts in multiple locations; Administer, maintain and reconcile Time Verification reports to ensure accuracy and approves bi-weekly schedules for all employees. Reviews and monitors staffing absence levels and provides coverage that adheres to organizational policies, and or collective agreements. Works Collaboratively with the mangers to manage the employee relief budget. Responsible for allocating the relief budget and ensuring it is directed to the proper program. Collaborates with Occupational Health and Safety to ensure data integrity for absences and ensures adequate staffing for successful return to works; Responds to sensitive HRIS, Payroll and absenteeism inquiries from employees; Collaborates with Human Resources, Payroll and management on issues related to employee’s confidential information; Prioritizes and determines the short term and long term requirements as they pertain to scheduling/staffing; Provides scheduling forecasts to assist management when determining need for temporary postings; Creates, posts and maintains all staff schedules (i.e. Quadrant Workforce (HRIS), Outlook calendar, intranet schedule etc.); changes and updates frequently; Collaborates with HRIS Administration to develop reports to support staffing / labour requirements. Authorizes the day to day scheduling/staffing of employees, while monitoring all absences in accordance with Collective Agreements; Prioritizes and assigns coverage and manage relief/part time availability based on operational requirements and collective agreements; Interacts and works collaboratively with managers to ensure staffing requirements are met and scheduling data is updated; Provides information to managers regarding skill set requirements to ensure adequate coverage in all areas; Educates and supports new and existing employees on HRIS applications; Identifies and communicates opportunities for process and procedure improvements to support organizational planning. Maintains relevant statistical data to assist in planning and operational decision making. Troubleshoot and provides resolution by investigating and analyzing historical and current HR data; Other duties as assigned. What must you have?
Post-Secondary Education in a related field such as HRIS, Human Resources, Payroll, Business Management or progressively responsible related HR experience 2 to 3 years’ experience in a Human Resources and Payroll role/function within a health care sector unionized environment; Experience in administering and interpreting collective agreements particularly in the areas of vacation, sick leave, leaves of absence, hours of work and scheduling; Working knowledge of employment related legislation (Employment Standards Act) Canada Labour Code and Canadian Human Rights Act. Proficiency in all applicable computer programs including MS Office (Word, Excel, Outlook, Power Point) and Human Resources Information Systems; Prioritization, organization and time management skills; attention to detail is critical; frequent interruptions; Ability to multi-task in a busy environment; Ability to handle sensitive and confidential information in a discreet and professional manner; Ability to work independently and take initiative; Ability to facilitate effective working relationships with internal and external customers/stakeholders; Demonstrates an understanding of teamwork and is able to work with others in a cooperative and collaborative manner to achieve a desired or common goal; Demonstrates commitment to continuous improvement principles and practices. We have a mandatory COVID-19 vaccination policy. As a condition of employment, all employees are required to submit proof of COVID-19 vaccination status prior to start date.

Position location and travel:
The position may involve travel throughout the Central East geographic region. A valid Ontario driver's license and access to a reliable vehicle are required.
