Nature and Scope

The Fellows Experience Coordinator supports the effective delivery of the Fellows Project by coordinating the daytoday logistics, administration, and operational components of the program. The Coordinator plays a key role in organizing learning experiences, gatherings, retreats, training sessions, and mentorship activities by managing schedules, logistics, communications, and materials. Working closely with the Project Manager, the Coordinator contributes to creating a positive, culturally respectful, and wellorganized program environment. The Coordinator may also contribute to the coordination and delivery of broader strategic projects and initiatives as required. This position will positively promote and create an environment that aligns with the vision, mission and values of partnership organizations – Gabriel Dumont Institute and Saskatchewan Indian Institute of Technologies.

General Accountability

The Fellows Experience Coordinator is accountable for coordinating and administering the logistical and operational elements of the Fellows Project in support of the Project Manager. This includes assisting with program planning and timelines, coordinating events and learning experiences, maintaining records, supporting reporting activities, and ensuring consistent communication with Fellows, and internal and external stakeholders. The Coordinator will support the coordination and delivery of other projects and initiatives as assigned.

Under the direction of the Project Manager, Strategic Projects, the Coordinator ensures that program activities are delivered efficiently, on time, and in accordance with established plans, policies, and budgets. The Coordinator supports highquality program delivery by anticipating needs, resolving logistical issues, tracking participation and outcomes, and contributing to continuous improvement of program operations. This position provides operational support across the lifecycle of assigned projects and includes the following broad range of accountabilities:

Specific Accountabilities

Coordination, AdministrationFacilitation

  • Coordinate logistical planning and execution for Fellows Project activities including retreats, gatherings, training sessions, mentorship meetings, and engagement sessions (inperson and virtual)
  • Support the coordination and delivery of other projects and organizational initiatives as assigned
  • Coordinate event logistics such as venues, travel, catering, materials, equipment, A/V needs, setup and takedown
  • Work closely with the Project Manager to finalize logistics and schedules for all assigned events and project activities
  • Coordinate with key stakeholders on event-related matters
  • Attend and monitor Fellows Project events to ensure events are organized and run smoothly
  • Mitigate risks and issues that may arise before, during, and after events to ensure positive participant experiences
  • Research venues and support the securing of space, contracts, and service agreements, as directed by the Project Manager
  • Prepare program-related materials, according to SIIT guidelines, and distribute as required
  • Oversee registration for events; including processing, tracking, and follow-up as required
  • Coordinate virtual learning platforms and online training sessions, including participant access and technical support
  • Ensure strict confidentiality and privacy of information as it relates to Fellows, staff, the Institutes, and other third parties
  • Provide regular updates on project activities to internal and external partners, and stakeholders as required
  • Develop training resources and engagement session materials for events
  • Track event and participant attendance for training, workshops, and events
  • Develop and deliver events, workshops and presentations in person, virtually, and in internal and external forums
  • Organize and facilitate engagement sessions, meetings, and gatherings with students, entrepreneurs, stakeholders and partners

Research and Reporting

  • Support the collection of data related to Fellows Project activities, events, and participant engagement
  • Assist with Assist with compiling reports, summaries, and documentation for internal and external reporting requirements
  • Gather participant feedback from learning experiences, retreats, workshops, and events, and share insights with the Project Manager
  • Assist with research related to facilitators, trainers, venues, and tools that support Fellows learning experiences
  • Maintain accurate records to support evaluation of participation, and project outcomes
  • Track project milestones, deliverables, and timelines and flag potential delays or issues to the Project Manager
  • Support continuous improvement efforts by identifying logistical or administrative efficiencies and opportunities
  • Complete period-ending reports

Relationship Management

  • Support the Project Manager in engaging with Fellows, mentors, facilitators, and stakeholders through timely communication and responsive coordination
  • Serve as a key point of contact for daytoday logistical questions from Fellows and partners
  • Provide student, client and stakeholder services in a timely, efficient, and tactful manner
  • Develop and maintain positive working relationships with all clients, stakeholders, and funders
  • Ensure a positive, diverse and inclusive work and learning environment
  • Liaise with faculty, staff, and students as requested to support coordinated program delivery
  • Contribute to SIIT's strategic effectiveness by representing and participating on internal and external committees as required

Resource Allocation

  • Support the monitoring of project budgets by tracking expenses, invoices, and purchase orders related to Fellows Project activities
  • Assist with ensuring resources and materials are in place to support events, training sessions, and learning experiences
  • Assist with the review purchase orders and invoices for completeness and accuracy prior to submission
  • Track expenditures and provide documentation to support budget reporting, as directed by the Project Manager
  • Ensure resources are used efficiently and in alignment with approved project plans and budgets
  • Follow SIIT financial policies and procedures related to purchasing, expenses, and recordkeeping

Required Qualifications and Experience: Successful completion of a business related post-secondary degree, combined with at least three years of relevant experience. Must be able to use the Microsoft 365 Suite of Programs - Word, Excel, PowerPoint, and Outlook. Project management experience is an asset. An equivalent combination of education and experience may be considered. Knowledge of First Nations cultures and organizations would be an asset. Candidate must have a valid driver's license and reliable transportation as travel is required.
