Job Summary
The Department of Family Medicine (DFM) strives to provide leadership by advancing the discipline of family medicine through education and research in primary health care, teaching family medicine residents and medical students, and demonstrating our commitment to lifelong learning and the dissemination of knowledge to Maritime family physicians. Reporting to the Education Operations Manager, the Postgraduate Medical Education (PGME) and Enhanced Skills Coordinator manages all aspects of the administration of the Family Medicine Category 1 and Category 2 Enhanced Skills Residency Programs. This includes the Palliative Care and Care of the Elderly Category 1 programs as well as any established Category 2 programs.
Key Responsibilities

Administer and coordinate the Department of Family Medicine’s Enhanced Skills (Category 1 and Category 2) residency programs, serving as the primary administrative contact and ensuring compliance with PGME, DFM, and College of Family Physicians of Canada requirements.

Provide comprehensive program support by managing resident records, accreditation and internal review materials, evaluations, correspondence, scheduling, and curriculum administration using One45 and DalMedix systems.

Support and participate in departmental, Enhanced Skills, Residency Program, and Competency Committees by preparing documentation, attending meetings, recording decisions, and following up on action items.

Coordinate all clinical learning experiences, resident schedules, leaves, evaluations, seminars, orientations, selection processes, events, and program promotions, ensuring accuracy, policy adherence, and effective communication with stakeholders.

Provide first‑line supervision of education unit staff, including hiring, training, performance evaluation, scheduling, and ensuring awareness and adherence to departmental and PGME policies and procedures.

Manage DFM award programs and general administration, including awards processing, donor relations, preceptor payments, budget oversight, Academic Funding Plan (AFP) reporting support, project management, and coordination of major postgraduate events such as the Resident Retreat.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications

Undergraduate degree, with three to five years’ related experience in an administrative role involving scheduling and IT matters (or an equivalent combination of training and experience)

Effective communication and interpersonal skills.

Supervisory skills and knowledge of personnel management.
-
Experience with various software packages (scheduling and evaluation [one45], Excel, database systems and Word).

Maintain an overall understanding of Dalhousie University and hospital network technology, upgrading skills as necessary.

Ability to establish and maintain contacts with software vendors and others in the university and hospital environment.
