About the role
We are currently seeking a Contracts Advisor to join our team.
The Contracts Advisor is responsible for the management of third-party contracts to ensure compliance with First West’s policies and guidelines. The Contracts Advisor facilitates the contract process by working with various business units across First West. In addition, this role will be responsible for assisting with various sourcing initiatives such as RFIs, RFQs, and RFPs. The Contracts Advisor assists the Manager, Procurement and Contracts in conducting reviews, preparing reports, and making recommendations.
Accountabilities

Contract Management : Assists and supports procurement initiatives, contract negotiations and contract management in accordance with First West policies and guidelines, including drafting contract language according to precedent; researching and obtaining information and materials required from a variety of sources; independently or working with departments to negotiate satisfactory price discounts, terms, delivery methods, dates, and related items.

Sourcing Initiatives: Participates in sourcing initiatives such as RFIs, RFQs, and RFPs, as required. Responsibilities may include drafting and reviewing related documents, scheduling meetings, ensuring due diligence checks, and coordinating with potential third parties during such initiatives.

Materiality Assessments: Collaborates with various business units to ensure third-party materiality assessments are completed, or updated, accordingly prior to contract execution .

Administration: Maintains the organization-wide contract library by filing new contracts and related documents, as well as monitoring upcoming expiring contracts for renewal and/or termination.

Reports: Prepares reports as requested and assists in making recommendations to various business units during the contract and/or sourcing processes.
Qualifications
- Diploma in a related field or combination of experience and education required; bachelor’s degree preferred
- SCMP, PMP, or related designation preferred
- 2-3 years experience in a commercial environment with some related experience in purchasing/contract management or an equivalent combination of education and experience required
- Experience conducting negotiations for the provision of third-party goods/services, managing and reviewing contracts and working in cross-functional teams is an asset
Competencies
- Strong relationship building skills with internal and external contacts at various levels within the organization and across a variety of disciplines
- Excellent interpersonal, negotiation, creative problem solving, and conflict resolution skills
- Excellent written and oral communication skills and ability to present information in a clear and concise manner
- Strong organizational and work planning skills
Skills
- Experience conducting negotiations for the provision of third-party goods/services; managing and reviewing contracts
- Experience in sourcing initiatives such as RFIs, RFQs, and/or RFPs and working in cross-functional teams
- Proficient in Word, Excel spreadsheet and PowerPoint applications
