About the role
Under the supervision of the Manager, Planning & Procurement, the Inventory and Costing Specialist is responsible for managing inventory control and product costing across multiple sites, supporting operational and financial decision-making. This role will collect, analyze, and report key data regarding material movements, cost structures, and inventory valuations to ensure process accuracy and compliance. The Inventory and Costing Specialist will work closely with cross-functional teams to optimize inventory health, drive cost reductions, and ensure timely, reliable reporting. This is a full-time, permanent role based out of our Vaughan, ON facility.
Key Responsibilities:
- Own the monitoring and control of raw materials, components, and finished goods inventory across all warehouses and locations.
- Track, analyze, and report on aging, excess, and slow-moving inventory; drive actions to reduce obsolete stock.
- Maintain and update product cost structures, including Bill of Materials (BOM), labor, machine hours, overhead allocations, and landed costs for imported components.
- Perform regular variance analysis between standard and actual costs; identify trends, risks, and root causes.
- Collaborate with Production, Procurement, and Finance teams to ensure accuracy of material usage, costing, and purchase prices.
- Prepare monthly inventory valuation, health, and aging reports with actionable insights for management review.
- Support budgeting, forecasting, and pricing strategies with accurate cost data, assisting in annual price book updates and make-or-buy analyses.
- Deliver make-or-buy and sourcing analyses with clear financial impacts for process improvement projects.
- Utilize ERP systems (MS AX 2012, MS D365 Dynamics or equivalent) for all inventory and costing functions; troubleshoot and recommend process improvements.
- Validate BOM and scrap reporting accuracy; drive corrective actions and maintain overhead absorption within budgeted targets.
- Participate in audits and ensure compliance with internal controls and industry best practices.
- Conduct periodic warehouse and production floor visits to validate inventory and costing data.
- Perform any other related duties as assigned by the Manager, Planning & Procurement.
- Ensure work is performed in compliance with ISO 9001 quality standards and compliance procedures.
Requirements and Skills:
- Completion of a college diploma or university degree in Supply Chain Management, Cost Accounting, Operations Management or a related field.
- 3–5 years of hands-on experience in inventory management and costing analysis; electronics manufacturing experience is an asset.
- APICS CPIM certification or equivalent credentials are considered an advantage.
- Advanced proficiency in Microsoft Excel and experience with ERP systems (MS AX 2012, MS D365 Dynamics or similar).
- Strong analytical skills with a detail-oriented approach to handling cost and inventory data.
- Demonstrated track record of reducing inventory variances and identifying cost savings opportunities.
- Effective verbal and written communication skills; ability to relay findings and recommendations to all levels of the organization.
- Experience coordinating with cross-functional teams in a fast-paced environment with tight deadlines.
- Ability to audit, investigate discrepancies, and implement corrective actions.
- Familiarity with ISO 9001 quality standards is an asset.
- Comfortable conducting periodic walk-throughs on warehouse and production floor for inventory validation.
- Must be able to maintain accuracy with large data sets and shifting priorities.
- Experience in preparing both operational and financial reports for management.
- High attention to detail, organizational skills, and continuous improvement mindset.
