About the role
We have an immediate opportunity for a Project Administrator (seasonal term). This position is based in our Acheson office. In this role, you will have the opportunity to work with an exceptional management team within a supportive and collaborative company culture. Come join our team and experience the difference. In this role, the individual will ensure the timely delivery and receipt of project LEMs to account for field services, invoicing of projects through AIMSIO, and assisting with project setup upon award. They will bring a positive attitude with a structured approach, logical reasoning, and will possess an exceedingly high attention to detail.

Responsibilities
- Actively going through timesheet information and generating daily LEMs for client timeline submittals.
- Following through with client contacts on daily, weekly and month end LEM signage.
- Prepare and submit monthly invoices.
- Maintaining positive communication with client representatives.
- Work alongside and regularly communicates with project managers, project supervisors and field teams, helping achieve project success.
- Assist the PM in safety statistics and field documentation signoffs.
- Assist the PMs, Equipment Coordinator and field team in scheduling fleet maintenance and equipment calibrations.
- Assist the Project Managers and Field Supervisors with any other general project administrative requirements.
- Tracking of project budgets and requesting PO/ contract amendments.
- Coordinating employee mobilization to job sites, including booking camp accommodations and arranging flights.
Skills & Competencies
- 2-3 years of experience as a Project Administrator or Project Coordinator is required.
- Proficiency in LEM (Labour, Equipment, and Materials) and invoicing processes.
- Experience with Aimsio software is an asset.
- Proven experience in budget tracking.
- Familiarity with contract management.
- Background in Civil Engineering or Construction is considered an asset.
- Strong organizational skills.
- Excellent communication abilities.
- Proficiency in Microsoft applications, including Word, Excel, and Outlook.
- Knowledge of file management, transcription, and general administrative procedures.
- Ability to meet tight deadlines.
