About the role

About Us

GeologicAI is a Calgary-based start-up developing and deploying exciting new technologies for the energy and mining sectors. We build nifty geological robots that scan rocks, train AI to analyze the scan data, and make fancy software that makes all our results incredibly useful for finding and extracting natural resources. We are well-funded and growing rapidly and looking for amazing people to join our team.

We're a fast-growing well-funded company working on interesting products that are making difference to the world. Our products and services are helping find the hydrocarbons that power our world today, and the metals and minerals required for the energy transition of tomorrow.

About the Role

We're hiring a Procurement Manager to build this function from the ground up: designing and implementing procure-to-pay (P2P) processes, consolidating and rationalizing our vendor base, negotiating better commercial terms, and establishing the policies and controls needed to support a scaling, multi-jurisdictional manufacturing, technology, service business. This is a hands-on, builder role, you will personally run sourcing events, negotiate contracts, ensure on-time delivery, and stand-up processes, not just oversee them.

Key Responsibilities

Procure-to-Pay Process Design

Design and implement a formal P2P process from requisition through payment, integrated with existing AP/accounting workflows Establish purchase requisition, approval, and PO issuance workflows with appropriate spend thresholds and controls Partner with Accounting to ensure procurement data flows cleanly into AP, GL coding, and financial reporting Support implementation of inventory/warehouse management software as operations scale

Vendor Management & Consolidation

Build and maintain a centralized vendor master and spend database — starting as a data exercise, normalizing and merging spend currently siloed across entities into one cross-entity view Conduct a spend analysis across direct materials/components and indirect categories (software, services, contractors, facilities, travel, professional services) to identify consolidation opportunities Develop a preferred/approved vendor list by category, reducing vendor sprawl and maverick spend Establish vendor onboarding, due diligence, and offboarding procedures, with clear ongoing ownership of the vendor master so fragmentation doesn't rebuild itself as the business grows Own day-to-day vendor performance — on-time delivery, scorecards, service levels, and periodic business reviews for key suppliers — partnering with each entity's local finance resource rather than running this purely from Calgary

Sourcing & Negotiation

Lead RFP/RFQ processes for major spend categories, particularly components feeding unit builds Negotiate and renegotiate pricing, payment terms, and service levels with new and incumbent vendors, prioritizing high-value or high-risk relationships Build category strategies for the largest spend areas, balancing cost, quality, lead time, supply risk, and long-term supply chain resilience as we scale production

Governance, Policy & Compliance

Draft and implement a formal procurement policy (approval authority matrix, sole-source rules, competitive bid thresholds, conflict-of-interest guidelines) Establish contract management practices — templates, standard terms, renewal tracking, and a central contract repository Build controls appropriate for our expanding multi-jurisdictional footprint — currency, tax, FCPA, and sanctions/screening implications, including enhanced due diligence in higher-risk jurisdictions and basic safeguards against duplicate payments and fraud — in coordination with Finance and external tax/legal advisors on cross-border arrangements Align procurement processes with ISO 9001 requirements for evaluation, selection, and monitoring of external vendors Lead change management across our autonomous entities/segments to drive adoption of central controls

Cross-Functional Partnership

Work closely with Manufacturing/Operations to understand component/material requirements, lead times, and supply risk for unit builds, including hands-on support for site mobilizations and equipment stand-ups Partner with Accounting on payment terms, cash flow impact of vendor terms, and AP process efficiency Act as the primary point of contact for vendor escalations and commercial disputes Represent procurement/P2P requirements in the upcoming ERP implementation, ensuring the vendor master and category taxonomy migrate cleanly into the new system

Must Have

8+ years of progressive procurement, sourcing, or supply chain experience, including direct ownership of vendor negotiations and contract management Demonstrated experience building or significantly formalizing a procurement function (not just operating within an existing mature one) Experience with both direct/materials procurement and indirect/services procurement Strong negotiation track record with measurable cost or terms improvements Comfortable operating with minimal existing infrastructure — this is a build, not an optimize Excellent cross-functional communication skills; able to work credibly with manufacturing/operations leaders and finance/accounting

Assets to Have

Experience in a manufacturing, hardware, or industrial technology environment Experience procuring across multiple countries/currencies and working with international vendors or contractors Experience in a high-growth private/PE- or VC-backed company

What Success Looks Like (First 12 Months)

Vendor master and spend database established with categorized spend visibility, and cross-entity spend consolidated into a single view with vendor duplication resolved on a meaningful subset Formal procurement policy and approval matrix implemented and adopted Top 20–30 vendors by spend reviewed, with consolidation and/or renegotiation completed on a meaningful subset Preferred vendor list established for at least the top 3–5 spend categories P2P workflow documented and operating, integrated with AP On-time delivery performance for key vendors tracked and improved in support of manufacturing/operations Measurable cost savings or improved payment terms on renegotiated contracts

Working at GeologicAI you will enjoy the following benefits

A casual and fun work environment Extended health and dental benefits Flexible schedule and opportunities for remote work Robots with lasers!
