Job Overview:
As an integral part of the team, the Client Care Coordinator is responsible for supporting all aspects of client scheduling and ensuring accuracy of all reports.
Responsibilities:
Liaising with the admissions team to coordinate c
lient Intake, including scheduling, paperwork, e-health record creation
, billing coordination
- and referent communications
E-Health record management: Ensuring that all
appropriate procedures
are followed by the clinical team
and
updating and
maintaining
clinic schedules
- and client records as needed
Update and
maintain
Salesforce records to ensure the
accurate
- and efficient collection of outpatient data
Coordinate and manage the flow of
clients
-
in the Wagon app program
-
Work closely with Alumni services to ensure outpatient clients are informed of and engaged in alumni programming
Liaising
with referents to understand reporting needs; supporting the clinical team to meet referent reporting deadlines and ensuring that the content of the reports
is
- aligned with referent’s wishes
Suppor
t Product Manager by
-
supporting staff and clients with to trouble-shoot technical issues that arise in virtual platform
-
Be a resource for staff on outpatient programming
Ensure
s client
billing is done in
a timely
and
accurate
manner
, according to the standards
and requirements

set by the finance team
-
Answers telephone and email, directing clients and supporting them as appropriate

Conduct drug monitoring for clients as well as on behalf of third parties, or as requested by the Clinical Manager
-
General office management duties, such as ordering supplies, scheduling, and ensuring COVID-19 safety protocols are followed by staff and clients
Qualifications:
- Post-secondary education or equivalent relevant experience.
- Additional training or certification in medical or mental health administration is an asset.
- Strong organizational skills and attention to detail.
- Minimum of 2 years' experience in an administrative or coordination role.
- Experience in healthcare, mental health, or a similar field is considered a strong asset.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Experience with Electronic Medical Records (EMR) systems is an asset.
