About the Role

HUB International is seeking a detail-oriented and proactive Operations Licensing Specialist to join our Ontario Operations team. In this role, you will be the go-to expert for RIBO licensing compliance across our Ontario brokerage and will lead Learning & Development initiatives to support colleagues’ professional growth. You will also play a key role in supporting platform administration and new hire onboarding.

Key Responsibilities

  • Manage end-to-end RIBO licensing for all Ontario-licensed brokers, including renewals, registrations, reinstatements, and compliance with the August 31st renewal deadline.
  • Guide new hires through RIBO course options (self-study or bootcamp), exam requirements, and license registration processes.
  • Maintain and manage the RIBO CE Tracker; distribute CE reports to colleagues ahead of renewal periods and ensure all 8 CE hours are completed using accredited resources.
  • Coordinate and prepare for RIBO audits, including all preparatory work and scheduling meetings with the Principal Broker, Deputy PB, and Legal teams.
  • Lead and manage out-of-province licensing audits and support licensing administrators in Quebec and Canada West.
  • Administer Learning & Development programs, including managing the tuition reimbursement program, processing designation bonuses, and tracking course completions in Workday.
  • Manage organizational memberships with IBAO and IIC, including renewals, roster updates, and registering colleagues for CIP courses.
  • Administer key platforms including Certificate Exchange, CGI/DASH, and Oracle – managing access, conducting audits, and providing colleague support.
  • Support the Talent Team by managing new hire onboarding activities, including RIBO Smartsheet updates, Welcome and Training emails, and 30-day training surveys.
  • Prepare and deliver internal communications including Huddle slides, Broker Standards sessions, and Compliance Month content related to licensing and education updates.
  • Perform additional ad hoc duties as assigned.

What We’re Looking For

  • Hybrid Role
  • RIBO licensed
  • Strong knowledge of RIBO licensing regulations and Ontario insurance industry requirements
  • Excellent organizational skills with the ability to manage multiple deadlines and stakeholders simultaneously
  • Experience in Learning & Development administration or a similar coordination role
  • Proficiency with platforms such as Workday, Smartsheet and Microsoft Teams
  • Strong written and verbal communication skills; comfortable presenting to groups
  • Collaborative team player who can also work independently and take initiative

The expected salary range for this position is $60,000 to $70,000 and will be impacted by factors such as the successful candidate’s skills, experience and working location, as well as the specific position’s business line, scope and level.
