POSITION OVERVIEW

The Portfolio Coordinator plays a critical role in supporting the Climate Tech Fund’s investment operations and portfolio management by ensuring the integrity, accuracy, and timeliness of portfolio data. This position will effectively communicate and collaborate with all internal stakeholders and will be a key player in ensuring the operational success of the team.

This role is ideal for someone who thrives in a process-oriented environment, finds satisfaction in mastering structured tasks and can exercise judgement to ensure strong portfolio administration. The successful candidate will be expected to consistently deliver high-quality work with precision and attention to detail, while also contributing to portfolio analytics and fund management initiatives.

The Cleantech Practice and the Climate Tech Fund represent a $1.1B venture capital platform dedicated to investing in Canadian climate technology firms demonstrating high potential to grow into global champions and deliver greenhouse gas reductions and impacts. Our team works in close partnership with our portfolio companies, providing advice, connections to government funding programs and private investors.

CHALLENGES TO BE MET

  1. Portfolio Data & Systems Management
  • CLICs Administration: Maintain and update the CLICs portfolio administration system to ensure data integrity across all investment records, including the following tasks:

    • prepare various service requests (authorization, cash disbursements and amendments) and provide support related to daily and/or periodic investment administration;
    • perform KYC/AML as required and coordinate annual risk reviews as per BDC Business Rules;
    • ensure that system information is up to date in CLICS and other systems, and that documentation attached to the service request is complete;
    • provide support to the team with regard to investment authorizations and financing disbursement processes.
  • Data Input & Validation: Accurately input investment transactions, valuations, and other key data points into internal systems, ensuring alignment with governance and compliance standards.

  • Valuation Support: Support the “Mark to Market” (M2M) biannual file review, including data collection from internal and external stakeholders and coordinate quarterly reporting process

  1. Process Optimization & Documentation
  • Identify opportunities to streamline data workflows and improve system efficiencies.
  • Maintain and manage clear documentation of data processes, templates, and reporting protocols.
  • Keep the team up to date on all relevant business rules and procedures.
  1. Team Collaboration
  • Provide ad-hoc support to team members and take part in special projects as required;
  • Work closely with investment team members to ensure accurate and timely portfolio management.
  • Liaise with IT, compliance, and finance teams to support cross-functional initiatives and audits.

WHAT WE ARE LOOKING FOR

  • Bachelor’s degree in Commerce, Accounting, Finance, Business Administration or a related field.
  • Strong organizational skills and exceptional attention to detail.
  • Proven experience in operational roles, ideally within an institutional environment.
  • Demonstrated consistency and precision in executing structured responsibilities.
  • Collaborative mindset and eagerness to learn in a dynamic team environment.
  • Proficiency in CLICS , iLevel and other portfolio management systems an asset.
  • Skilled in Microsoft Excel and PowerPoint.
  • Capable of managing multiple priorities, troubleshooting issues independently, and implementing effective solutions.
  • Understanding or passion for climate sectors is an asset.
  • Strong communication skills and fluency in English is required; French proficiency is an asset.
