Department Overview
T he Office of the Corporate Secretary team within the Legal Department contributes to the Bank's compliance with regulatory obligations and best practices in governance by managing corporate secretarial matters and processes relating to the Bank's Board, Committees of the Board (the "Board"), Annual Meeting of Shareholders and other related meetings and governance matters.
In order to manage the competing demands placed on the Board, as well as evolving governance practices and policies, our team is continually looking at ways to innovate while effectively maintaining service excellence.
Job Description / Key Accountabilities
Reporting directly to the Corporate Secretary, the successful candidate will be responsible for supporting the end-to-end process of event planning and execution on diverse internal and/or external events and meetings for the TDBG Board of Directors.
- Oversee, lead or manage events that require alignment across multiple areas
- Act as a centre of excellence for all event related elements including (but not limited to) the development of run sheets/production schedules, catering, hotel and ground transportation logistics for the Board of Directors meetings/events
- Aid with all aspects of program development, event planning and event execution
- Negotiate contracts, review clauses, sign contracts within approved authority, escalating as required
- Collaborate with the Senior Event Manager and Operations Manager, Governance as it pertains to the coordination of accurate and timely materials and logistics for all board and committee meetings
- Work with key business partners, create event proposals, and develop comprehensive workback schedules/project plans to effectively and efficiently deliver high quality events
- Present and make recommendations to senior management and executives as it pertains to events related to the Board
- Aid in the development of contingency plans, when required, to ensure the smooth execution of all events
- Provide functional / business level communications on event planning activities to ensure messages to Board Members, SET Members and key stakeholders are efficient, consistent, appropriate and aligned to business strategies and management direction
- Proactively identify key business opportunities, research and recommend enhancements / modifications, develop strategies to achieve recommendations and work closely with team to execute and implement
- Recognize and anticipate emerging industry trends and identify issues, opportunities and recommend action to senior management
- Protect the interests of the Bank – identify and manage risks, and escalate non-standard, high-risk activities as necessary
- Share knowledge, information, skills, and subject matter expertise among the team and ensure the timely communication of issues and encourage good working relationships with other functions and teams
- Support an environment where the team freely escalates business challenges; facilitates change through positive reinforcement of milestones and successes
- Act as a brand ambassador for your business area/function and the bank, both internally and/or externally
Relationship Management
- Manage the relationship and project deliverables of key partners such as the Senior Event Manager, CEO's office, Corporate and Public Affairs, Technology, and Senior Management Team to provide guidance, expertise, and counsel on event management activities, including acting as subject matter expert on event management best practices, projects, and initiatives
- Own and manage overall event budget and expenditures, meet business objectives while increasing efficiency and effectiveness, ensuring the delivery of quality programs and meetings within plan
- Responsible for identifying and implementing program efficiencies, process improvement and cost saving strategies
- Accountable for event reconciliation in an accurate and timely manner including invoice processing and cost centre charge-outs
Job Requirements
- Undergraduate degree and 7+ years relevant event experience
- Highly motivated individual with proven track record of delivering white-glove service and achieving results
- Proven results in event management and strong experience in project management with a demonstrated ability to lead large multi-faceted projects or initiatives
- Relevant communication experience including well-developed written, verbal and visual communication skills with the ability to communicate with impact to TD colleagues at different levels
- Strong business acumen and analytical capabilities – able to consolidate information into a concise recommendation
- Strong organizational skills with the ability to manage multiple projects simultaneously
- Demonstrated interpersonal and relationship management skills, can-do attitude, passionate about the delivery of high-quality events with priority on the overall experience of TDBG Board of Directors
- Strong organization skills, with the ability to work in a fast-paced environment and manage multiple deadlines and competing priorities
- Self-motivated, team player with high energy and ability to work independently
- Ability to travel within and outside of Canada
- Ability and willingness to work variable hours driven by the needs of the business
The Event Manager will be required to attend all events, including where travel is required. Flexibility on weekends, early mornings and evenings is required during event planning peaks and during event execution.
