Qualifications

MINIMUM FORMAL EDUCATION/TRAINING REQUIRED:

  • Completion of a formal training program in a related discipline from a recognized institute plus four years of directly related experience.

  • Knowledge of university regulations, programs, and procedures as they relate to the function/program.

EXPERIENCE:

  • Experience working with students in a post-secondary environment required.

  • Understanding of Graduate Studies policies and procedures preferred.

  • Experience managing projects with tight deadlines preferred.

  • An equivalent combination of education and experience as recognized by the University of Manitoba may be considered.

  • An acceptable equivalent combination of education and experience may be considered.

SKILLS AND ABILITIES:

  • Demonstrated ability to create engaging, audience-focused content across formats (written, video, short-form, visual, etc.) is required.
  • Strong understanding of social media trends, platform algorithms, and audience engagement strategies is required.
  • Ability to maintain and optimize a content calendar, ensuring consistent, timely, and strategic content delivery is required.
  • Strong proficiency in PowerPoint and slide design for professional presentations is required.
  • Proficiency in video shooting/editing (e.g., Adobe Premiere Pro, Final Cut Pro, or equivalent) is required.
  • Excellent writing, editing, and storytelling skills with a strong sense of brand voice and tone is required.
  • Strong organization, attention to detail, and ability to manage multiple priorities is required.
  • Ability to work independently and with limited supervision, as well as collaboratively in a team environment is required.
  • Flexibility and adaptability to thrive in a fast-paced and changing environment is required.
  • Comfortable learning new technologies and working across multiple platforms is required.
  • An understanding of general office procedures is required.
  • A high degree of tact, diplomacy, and professionalism is needed in daily contacts with senior University personnel, Faculty members, UM staff, industry partners, and external agencies is required.
  • A satisfactory work record, including satisfactory attendance and punctuality, is required.

Key responsibilities

Faculty research support:

  • Coordinates grant funding set-up (i.e. circulating Funding Application Approval Forms (FAAF) for signatures, submitting to Office of Research Services (ORS), etc).
  • Prepares, processes, and expedites documents and files related to research projects conducted in the department, including Research Ethics Bannatyne (REB) study approvals, protocols, application packages, annual renewal certificates, and study closure receipt.
  • Under the direction of the Program Director, this role completes the compilation of data required for budget preparation and account maintenance and maintains the listing of all research grant funds for the Faculty researchers.
  • Assists with service contract/agreement process as per UM and Shared Health financial procedures
  • Executes all purchases for the research unit and ensures the accuracy of all invoices, including research participants' honorariums or fees for services and hospitality pre-approvals. Performs bookkeeping duties which may include: preparing and processing spreadsheets, external invoicing, journal entries/interdepartmental charges; and/or adjustments to accounts, preparation of statistical surveys, reports and analyses, in consultation with the manager
  • Prepares regular financial reports for researchers and/or manager detailing expenditures, commitments, balances and funding end dates.
  • Assists with the set-up and closure of research funds in accordance with University/institutional and funding agency policies and procedures

Student research support:

  • Supports MPAS students throughout the development and completion of their Capstone scholarly project, acting as a primary administrative resource.
  • Provides guidance on processes related to ethics submissions, data management planning, and adherence to university and program research protocols.
  • Tracks student research project milestones and timelines to ensure timely completion of each stage, proactively following up on outstanding items.
  • Coordinates logistics for Capstone presentations, including scheduling, communications, and preparation of supporting materials.
  • Assists students in navigating grant application requirements for small research or quality improvement projects, ensuring accurate completion and submission.
  • Maintains a repository of templates, forms, and examples to support students in their scholarly activities.

Accreditation support:

  • Coordinates the collection, organization, and maintenance of documentation required for accreditation compliance, such as course outlines, evaluations, and curriculum mapping records as it relates to research and scholarship.
  • Tracks program metrics and outcomes data related to accreditation standards, preparing summary reports and updates for the Program Director and accreditation bodies as needed as it relates to research and scholarship.

Administration and Events:

  • Assists with events such as inaugural, interview day, and retreats.
  • Manages, coordinates and organizes Capstone Presentation event.
  • May be required to perform related duties not exceeding skills and capabilities as required.
