Your New Role The Property Management Coordinator reports directly to and supports the Senior Property Manager with lease administration and preparation and managing tenant relationships for US and Canadian properties.
Support the Senior Property Manager with tenant issues, property operations, and day-to-day portfolio administration. Serve as the main point of contact for tenants, handling inquiries, requests, and disputes in a professional manner. Maintain rent rolls, lease records, tenant files, and all tenant/vendor information within Yardi. Prepare lease abstracts, lease agreements, renewals, extensions, amendments, and termination documentation. Screen prospective tenants through reference checks, credit reviews, and income verification. Monitor and collect rent, issue late payment notices, and follow up on outstanding balances. Coordinate maintenance, repairs, and tenant service requests, liaising with approved trades and vendors. Maintain and monitor vendor and contractor information, ensuring quality service delivery. Prepare tenant correspondence, notices, welcome packages, chargebacks, and other property-related documentation. Monitor tenant insurance compliance and ensure adherence to lease obligations. Process and code invoices, allocate expenses, and support property accounting functions. Prepare annual triple net (NNN) reconciliations and supporting tenant documentation. Maintain accurate electronic and physical files, ensuring records are organized and up to date. Liaise with legal counsel as directed and assist with lease compliance matters. Handle incoming calls, emails, and correspondence from tenants, vendors, and government agencies. Assist with property acquisitions, dispositions, and special projects as required. Provide general administrative and office support, including reception duties and other responsibilities as assigned.
What you’ll need to succeed 3+ years working in Property Administration for commercial / residential properties. Experience using Yardi systems is a must. Thorough knowledge of BC property law, local bylaws, regulations and legal documentation / lease agreements Good understanding of accounting practices and knowledge of budgeting, financial reporting and processing for property transactions. Detail orientated and focused on accuracy, analytical and research skills
