Job Description
The Administrative Assistant , Hockey Operations, plays a vital role in supporting the day-to-day functions of the Hockey Operations department. This role supports the EA to the General Manager, Hockey Operations and team personnel, facilitating communication, scheduling, and coordination across departments. The ideal candidate is highly organized, discreet, and thrives in a fast-paced, dynamic sports environment.
Role Responsibilities
- Provide comprehensive administrative support to Hockey Operations staff, including scheduling, travel coordination, and document preparation
- Assist in general administrative duties such as filing, data entry, supply management, and internal communications
- Maintain and update internal databases and systems (e.g., Teamworks), ensuring accuracy and confidentiality.
- Support with player onboarding logistics, such as housing, documentation, and league compliance tasks.
- Coordinate and prepare materials for meetings, including agendas, minutes, and follow-ups.
- Assist with the planning and execution of team events, development camps, and special projects.
- Offer logistical and administrative support on game days, including family lounge coordination and credential distribution.
Role Requirements
- Minimum 3–5 years of administrative experience, preferably in sports, entertainment, or high-performance environments.
- Strong proficiency in Microsoft Office and familiarity with sports operations platforms (e.g., Teamworks).
- Excellent communication skills and ability to manage sensitive information with discretion.
- Proven ability to multitask and prioritize in a fast-paced, deadline-driven setting.
- Experience coordinating travel, events, and logistics for executives or teams.
- Post-secondary education in business administration, sports management, or related field preferred.
- Knowledge of hockey operations and MLSE’s organizational structure is an asset.
- Ability to work flexible hours including evenings and weekends during the season.
