This position plays a key role in providing strategic support to senior leadership. Responsibilities include managing priorities, coordinating activities, and facilitating communication among stakeholders. The incumbent will be expected to anticipate needs, ensure smooth processes, and contribute to strategic projects.

What you will do

  • Ensure the processing and drafting of all required correspondence and oversee the execution of various mandates across different departments.

  • Act as a resource person for the Senior Vice President, Building. Serve as the main point of contact, distribute requests, and ensure follow-up as needed.

  • Coordinate various executive meetings, including the preparation of necessary documents and/or presentations.

  • Act proactively to prevent and promptly report any obstacles or blockers.

  • Efficient and proactive calendar management.

  • Manage emails. Structure and maintain an effective filing system.

  • Ensure task follow-up and prioritization, as well as the quality of existing processes.

  • Facilitate the execution of tasks and responsibilities of the Senior Vice President.

  • Participate in special projects.

  • Possibility of translating various communications.

  • Prepare, record, and ensure follow-up on executive expense account payments.

  • Organize and synthesize information received from various stakeholders and/or executives.

  • Draft various publications, editorials, and speeches.

This role could be for you if you have

  • Education: College diploma in secretarial studies, office management, or a related field of experience.

  • Experience: A minimum of five (5) years of relevant experience, including at least three (3) years as an Executive Assistant supporting senior executives.

  • Demonstrate rigor and the ability to manage multiple priorities simultaneously.

  • Possess excellent organizational skills, a strong sense of responsibility, and sound political acumen.

  • Ability to build strong interpersonal relationships.

  • Strong adaptability skills.

  • Demonstrate discretion and maintain confidentiality.

  • Exercise good judgment and anticipate needs and requirements.

  • Strong attention to detail.

  • Demonstrate integrity and professionalism.

  • Proven ability to manage priorities in complex project environments.

  • In-depth knowledge of technological tools such as Microsoft Office (Word, Excel, PowerPoint, and Outlook).
