The City of Orillia is currently seeking a highly motivated individual to fill the position of Facilities Coordinator
Reporting to Manager of Corporate Facilities, The Facilities Coordinator is responsible for overseeing facility services, including building maintenance, custodial operations, and related support functions. The role ensures the safe, efficient, and effective operation of municipal facilities to optimize City assets, extend asset life, and support the delivery of municipal services
Candidates must possess a minimum grade 12 secondary school diploma or equivalent, as well as a minimum of three years of experience in facility management, preferably in a municipal environment. This position requires excellent computer skills including MS Office applications, including Word, Excel, e-mail, and the internet.
The City of Orillia offers a competitive salary, a comprehensive benefits package, and registration with the OMERS Pension Plan. The salary for this position is $68,087 to $79,652 based on a 40-hour work week.

Facilities Coordinator
Position Synopsis and Purpose
Reporting to the Manager of Corporate Facilities, the Facilities Coordinator is responsible for overseeing facility services, including building maintenance, custodial operations, and related support functions. The role ensures the safe, efficient, and effective operation of municipal facilities to optimize City assets, extend asset life, and support the delivery of municipal services

- Ensure all building systems, equipment, structures, and grounds are properly maintained to maximize life expectancy, efficiency, and occupant comfort and safety
- Conduct regular facility inspections and report hazards, damages, or required repairs Apply solutions considering on-going operational and maintenance effectiveness.
- Operate and perform maintenance on HVAC, BAS, electrical, plumbing, carpentry, and landscaping systems.
- Observe and maintain heritage building features in accordance with preservation standards, ensuring maintenance and repairs respect the historical integrity of designated facilities.
- Serve as first point of contact for contractors and tenants daily operational needs, including office renovations, alterations, repairs, and problem-solving to ensure tenant satisfaction.
- Provide on-call coverage for after-hours, evening, and weekend emergencies as required
- Ensure compliance with applicable legislation, including the Fire Code, Technical Standards and Safety Act, Building Code, and other relevant regulations
- Other duties as assigned in accordance with corporate objectives

- Maintain accurate monthly maintenance records for all operating systems, including entries in CityWide.
- Complete performance evaluations for Facility Attendant staff.

- Purchase and maintain building and maintenance supplies.
- Monitor and adhere to the departmental budget and assist in the preparation of annual Operating and Capital budgets

- Note: All activities are expected to be performed in a safe manner, in accordance with the Occupational Health and Safety Act and its Regulations, along with Corporate Safety policies, procedures and programs. In addition, all necessary personal protective equipment must be used and maintained in good condition.

1. Examples of the types of decisions that are made or issues/situations that are dealt with on a regular basis and how judgement is used to resolve them.
- Adjusts schedules, sequencing, and minor project scope or timeline decisions as required to support operational priorities and ensure continuity of services without impacting program needs.
2. Examples of situations or problems that are referred to the supervisor for direction or resolution.

The position may be involved in developing solutions for facility renovations, retrofits, and minor capital projects, and in collaborating with internal and external partners to determine the most appropriate course of action.
Minimum Qualifications
Education (degree/diploma/certifications)
- Minimum Grade 12 Secondary School Diploma or equivalent.
Experience
- Minimum of three years of experience in facility management, preferably in a municipal environment.
Knowledge/Skills/Ability
- Knowledge of building systems (HVAC (especially), electrical, plumbing), carpentry and landscaping an asset. Knowledge of The Fire Code, Fire detection systems and devices, Fire Safety Plans, DDC Building Automation Systems, Elevating Devices Act.
- Strong working knowledge of mechanical, electrical, structural and building envelope, natural environment, controls and management systems.
- Excellent computer skills including MS Office applications, including Word, Excel, e-mail, and the internet. Experience with energy and asset planning systems is an asset.
- Possess excellent leadership, time management, organizational negotiation and communication skills with the ability to multi-task
Physical Demands
- Sitting, standing, or walking. Work is conducted in a standard office environment with continual visual concentration required.
- Proper personal equipment (PPE) is required when on-site at various construction projects and facilities.
- May be required to work in outside weather conditions and may be exposed to wet, cold and/or humid conditions, fumes or airborne particles, toxic or caustic chemicals. Appropriate personal protective equipment (PPE) must be worn when working with or around hazardous chemicals and/or equipment.
