About the role

The Position

Manage all Therapeutic Area (TA) regional conference and convention management activities, ensuring business and compliance related guidelines are met.

Coordinate and execute administrative support for Head of Customer Experience Operations and for all CxO Pillars. Additional Departmental administration as required. (CxO Records Retention, Vendor Administration, MyBI Editor)

Responsibilities

  • Regional Conference & Convention management (Planning support, coordination, implementation, various follow-ups as required):
    • Coordinate all activities related to conventions and conferences, interfacing with commercial teams.
    • Coordinate schedules and shipment of materials. On site management where required.
  • Provide support of administration for Head of Customer Experience Operations and CxO Pillars(Go-To-Market (GTM), Customer Relationship Management (CRM), Analytics, Learning and Development, Market Research, Omni Channel, Business Services and Business Compliance(including assisting with purchase orders, invoices, budget planning and reconciliation. Lead budget management support through reconciliations and tracking
  • Coordination and set-up of all logistics associated with all Human Pharma (HP) Learning and Development initiatives (e.g. Semester 1, Semester 2, Regional and Therapeutic Training Sessions for HP Training),support of training technology and Council for Continuing Pharmaceutical Education (CCPE) Registration.
  • MyBI content / page editor & administration for Customer Experience Operations pages.
  • Manage departmental administrative functions for CxO team as assigned (CxO Records Retention, Vendor Administration, Sample Call Card Verificaton, Qualtric Survey Development)
  • Meetings:
    • Responsible for meeting planning & coordination for Customer Experience Operations Department meetings and events.
    • Assist with the coordination of attendees for both virtual and face-to-face meetings, working with -Meeting Planner (Sourcing) & BCD Meetings.

This position is based in the Burlington, Ontario office located at 5180 South Service Road and is flexible .

Employees in flexible roles are required to be at the office a minimum of 50% of the time each month and must report to the office when requested and required by their Manager/Department.

Requirements

  • University Degree, post secondary education or minimum 3 years experience working in an administrative support role in a highly demanding/complex organization
  • Demonstrated working experience with Adobe Connect, Excel, Word, Visio, PowerPoint, Microsoft suite, ShareRoom, Learning One Source, Adobe LiveCycle
  • Excellent organizational, time management skills and attention to detail.
  • Strong communication skills. Ability to take initiative and exhibit good judgment and problem solving skills.
  • Effectively manage multiple projects with strict deadlines and maintain confidentiality.
