What You Will Do:
SUMMARY
The Supply Chain Manager is responsible for overseeing and managing the company’s overall supply chain and logistics strategy and operations in order to maximize process efficiency and productivity. This role involves procurement, inventory and storehouse management, logistics, supplier relationship management, and continuous process improvement. The Supply Chain Manager ensures cost-effective operations while maintaining high service levels and compliance with company policies and regulatory requirements.
The role provides leadership to Supply Chain team members; Buyers, Purchasers, and Stores Attendants. Ensuring effective performance, development, and alignment with organizational standards and service expectations of the staff.
This role has oversight and accountability for the development, implementation, and ongoing management of organizational purchasing policies, systems, and procedures. It ensures procurement activities align with established governance, operational requirements, and financial controls. Accountable for ensuring staff effectively prepare tenders, evaluate vendor proposals, negotiate and award contracts, and manage supplier relationships to achieve value, compliance, and service reliability. The role also supports material requirements planning and contributes to Workday system enhancements and associated training to strengthen procurement processes.
In addition, this role performs project management activities to support the successful execution of capital and operational projects, ensuring they are delivered on time, within scope, and on budget. Accountable to support Stakeholders with coordinating project initiation, procurement planning, stakeholder communications, and monitoring project progress and responsible for the financial tracking to ensure successful project execution.
Essential duties, responsibilities, and performance measures

Contract Management and Vendor Agreements
Accountable for negotiating and preparing all of Bethany’s non-collective contractual agreements for submission and approval to the CEO. Reviews all contractual documents provided by vendors to determine whether a Bethany agreement should be drafted or if the vendor’s agreement may be used. When vendor agreements are utilized, ensures terms meet Bethany standards related to insurance coverage, WCB, indemnification, criminal checks/immunization, and orientation requirements.
Procurement and Vendor Management
Responsible for new vendor setup in Workday. Accountable for purchasing goods and services in support of capital projects and capital budgets. Coordinates the organized return of capital goods to vendors when required.
Budget, Finance, and Reporting
Reviews previous budgets to ensure all relevant areas are considered in the development of the new budget. Prepares a list of all items to be purchased during the upcoming year, including estimated costs and supporting rationale. Prepares and maintains the capital spending summary for the monthly executive report. Submits claims related to Bethany’s insurance policies to the insurance broker on behalf of stakeholders.
Audit, Inventory, and Financial Controls
Ensures procedures are in place for Supply Chain’s participation in the auditing process. Provides reporting information as required by senior management and auditors. Develops and updates year-end procedures for inventory and submits all inventory results to the Finance Department.
Policy, Governance, and Process Improvement
Develops, implements, and maintains policies and procedures applicable to all aspects of the Supply Chain business unit. Actively encourages Materials Management staff to identify process improvements and leads the review and revision of purchasing processes across the organization. Leads Workday procurement and procure-to-pay system enhancements, process improvements, and associated training.

Conducts regular staff meetings, keeping staff informed of Society initiatives, and maintains good working relationships with staff. Ensures adequate participation by Supply Chain staff in Society Committees. Participates in Bethany’s Business Planning Process with other management staff and communicate results to department staff. Determines any additional resources required by Supply Chain Department to support the business plan and communicate those additional requirements to the Director, Facilities Management. Determines changes to be made to plan, and communicating those changes to staff and Director Facilities Management. Writes the in-service education guide which outlines Supply Chain processes. Reviews the meeting material on a regular basis with staff, to keep it current with Society policy.
3. Team Work: Demonstrates leadership by living Bethany’s mission and values in daily work, fostering a culture of respect, collaboration, and service while working cooperatively with others as an effective team member. Performance Measures include:
Collaborates with Supply Chain staff to plan the align departmental priorities in support of the business plan. Meets with staff to determine department to identify operational needs, including education, equipment/supplies to support effective job performance. Works with stakeholders to establish product specifications, product samples and evaluations to support informed purchasing decisions. Collaborates with Director, Facilities Management, and any other identified stakeholders, to identify purchasing requirements of various corporate projects.

Performance Measures include:

5. Safety: Contributes to a safe environment for residents, the team and self by understanding and adhering to safety guidelines and practices at all times.
Performance Measures include:
Identifies and mitigates unsafe conditions in the work environment, including immediate reporting of any unsafe conditions. Strong knowledge of body mechanics and proper lifting techniques. Utilizes the reporting process for Employee Injury and Hazardous conditions and resident unusual occurrences. Participates in fire drills and understands fire, WHMIS, MSIP and general safety procedures.
Qualifications
Education & Professional Designation
A recognized Bachelor’s degree in a related field
b. SCMP, CSCP, CIPS, or an equivalent professional designation is preferred.
c. Active membership in Supply Chain Canada is considered an asset.
Experience
Three to Five years’ experience in Purchasing or Supply Chain
Nonprofit and/or healthcare organization experience preferred.
Proven ability to lead teams, drive operational discipline, and manage change.
Additional skills
Experience with Workday procurement and inventory modules, plus other PO/service/work order systems.
Knowledgeable and proficient in the use of Microsoft Word and Excel software.
Experience with Workday purchasing and accounts payable software.
Familiarity with automated payroll, staff scheduling and accounting software also an asset.
Fundamental knowledge of tendering, negotiating and contracting processes.
PHYSICAL REQUIREMENTS
- Good vision and hearing (with correction if needed) is required.
- Able to spend prolonged periods at a desk utilizing a computer and monitor and performing other close visual work as required (sitting, handling, touching, finger dexterity).
- Mobility for kneeling, bending, stooping and light lifting would be utilized as able or necessary.
