About the role
Service Administrator – Fire Protection
Full-Time | Monday–Friday | 8:00 am – 4:30 pm
We are a long-standing and trusted fire protection company seeking a highly organized and detail-driven Service Administratorto support our expanding fire protection service team. While the primary focus of this role is on fire protection scheduling, documentation, and customer coordination, you may also provide occasional administrative support for security service requests.
As a key member of our service department, you will help ensure timely inspections, service calls, and maintenance for fire extinguishers, sprinklers, alarms, emergency lighting, suppression systems, backflows, hydrants and related fire protection equipment. You will work closely with field technicians, customers, and the office administration team to keep service operations running smoothly.
Fire Protection Administration (Primary Focus)
- Schedule fire protection inspections, maintenance visits, and service calls
- Review technician service reports and generate estimates for deficiencies
- Create work orders and maintain accurate scheduling in INFOtrac (or similar)
- Prepare required paperwork, reports, and documentation for service appointments
- Track outstanding deficiencies and coordinate
- Service Administrator – Fire Protection follow-up service
- Communicate with customers regarding appointments, estimates, and service updates
Security Administration (Secondary Support)
- Assist with creating work orders, scheduling, invoicing or creating various documentation for security and monitoring services when needed
- Maintain accurate records for basic security and monitoring related work
Qualifications
- 3–5+ years of administrative experience (service or trades industry preferred)
- Experience in
fire protection administration, dispatch, or scheduling is a strong asset - Knowledge of fire protection terminology, equipment, and service cycles is helpful
- Proficient with Microsoft 365 and service management software
- Excellent communication and customer service skills
- Highly organized, detail-oriented, and able to multitask in a busy environment
- Quick learner with the ability to adapt to new processes and software
