Key Responsibilities:
- Collect outstanding accounts by telephone calls, emails, mail.
- Log collection efforts and activities regularly.
- Refer problem accounts to Project Engineers, Group Leaders, Team Leaders and/or Office Services Manager.
- Prepare and distribute reports A/R reports monthly and update daily..
- Assist with Issuing invoices monthly by mail, email, portals and file them digitally.
- Prepare details/explanations of problems associated with the Allowance for Doubtful Accounts (AFDA) report on a monthly basis.
- Assist A/R Coordinators with invoicing including gathering documents as invoice back-up.
- Project Activations – setting up new projects, promo or real.
- Respond to client inquiries regarding A/R and other invoice-related issues.
- Update client information, as necessary.
- Print and sort out Statements of Account on a monthly basis or as required.
- Reconcile accounts, as required.
- Provide back up to administrative staff such reception, word-processing, typing emails, filing, letters, reports, proposals, etc.
Professional Qualifications: Education/Experience:
- Completion of accounting courses through a recognized university or college is preferred
- Minimum 1-2 years of related Accounts Receivable experience
- Familiarity with the consulting engineering and architectural industry is an asset
Skills :
- Strong Microsoft Word and Excel skills with a working knowledge of computerized accounting software (Microsoft Dynamics aka Solomon, Newforma, Unanet an asset)
- Excellent communication skills
- Exceptional organizational, time-management, and strong attention to detail skills
- Ability to self-manage assignments from start to finish with minimal oversight and meet deadlines
- Ability to handle stressful situations with professionalism and calm composure
- Committed to providing exceptional client service
- Able to interact professionally with all levels of business personnel and build strong working relationships as a team member
- Ability to work in a fast paced environment
