##Job Profile

Under the direction of the Manager of Civic and Recreation Facilities, the Facilities Operations Coordinator is responsible for the coordination, administrative support, and project management of maintenance and operations related to civic and recreational facilities, pool operations, building maintenance, renovations, and building automation systems. This position coordinates contracted services, supports operations staff and department supervisors, and implements routine maintenance programs to ensure high standards for building conditions. Key initiatives for this position include development and administration of city-wide contracts for maintenance, project and asset management, work order management implementation through Maximo CMMS, sustainability, and supporting the commissioning of the new Recreation Complex.

##What you will be doing

  • Coordinate facility operations, maintenance, and projects with support to departmental leadership and staff.
  • Identify required building maintenance and repair needs, prepare requests for proposals/ tender/ quote, estimates, and specifications for building repair, maintenance, and renovations. Perform ongoing contract administration for contracted services. Provide access to facilities and inspect contractor work for quality and compliance with contract or other specifications.
  • Utilize software and programs to prepare and implement maintenance, projects, schedules, and contracts for corporate facilities (ie. janitorial services, pool operations, mechanical, electrical, access control, security systems, snow removal, landscaping).
  • Monitor the department’s general email, troubleshoot facility issues, lead departmental file organization and workflow processes, receive service requests and work orders for building maintenance/ operations, schedule and assign work to contractors or internal staff using programs such as Maximo CMMS, Teams, and Outlook.
  • Administer corporate facility access control and security systems (card reader and key management).
  • Assist with monitoring departmental expenses and preparing forecasts or reports as needed.
  • Lead with a risk management mindset. Promote compliance with the Occupational Health and Safety Act, regulations, Corporate Health and Safety Policies and Procedures, Ontario Fire Code, and Ontario Electrical Safety Code, and the Ontario Building Code for operations and maintenance. Minimize risks and impacts to staff and visitors from maintenance and repairs via scheduling and good planning.
  • Evaluate operational results and seek continual efficiency improvements. Demonstrates continuous efforts to improve operations, decrease turnaround times, streamline work processes, and improve customer service. Align facility maintenance and operations with corporate standards (i.e. emergency preparedness, asbestos management, accessibility requirements, energy efficiency etc.).
  • Incorporate Facility Emergency Response processes and facilitate fire drills and other facility emergency management. Act as a member of the Emergency Operations Centre (EOC) if activated and follows specific duties and responsibilities as set out in the Emergency Plan.
  • Complete property management duties for City owned facilities, including meeting contractors on site, coordinating work with contractors, and communicating with leaseholders or staff (as needed).
  • Receive invoices, review work and confirm completion. Follow-up with vendors if there are concerns with discrepancies in the invoice or scope of work.
  • Schedule and perform regulatory inspections.
  • Participate in on-call and after-hours work as required

##Education

  • Three-year post-secondary education or college diploma in Architecture, Engineering, Construction or equivalent
  • Professional accreditation as Certified Engineering Technologist, Architectural Technologist, Ontario Association of Architects, or equivalent is required
  • Facilities Management Professional, Sustainable Facilities Professional, Project Management Professional, Building Environmental Systems Operator Level 1 are all considered assets

##Experience and Knowledge

  • Two (2) to three (3) years of experience in facilities operations, contract management, service level agreements, project management, and general facility maintenance within recreational and municipal facilities

Proof of your current and valid certificate(s) and/or educational qualifications.

Supervisor Health and Safety Awareness Training Certificate from the Ministry of Labour (may be obtained post offer)

Valid G driver's license.

##Your compensation

This position is within Grade 9 of the inside workers union Salary Schedule and has an annual salary range of $82,592 to $87,779

Comprehensive benefits package included and enrolment in Ontario Municipal Employees Retirement System (OMERS).

##Hours of work

This position work 35 hours per week, Monday to Friday 8:00 am to 4:00 pm and will require on-call and after hours work as required in accordance with the collective agreement.
