THIS IS A TEMPORARY REPLACEMENT POSITION FOR A BARGAINING UNIT EMPLOYEE. Terms and conditions of employment are as outlined in the Support Staff Collective Agreement.
Reporting to the Campus Principal, the incumbent works as part of the OS Campus team and is responsible for initiating, developing and implementing a variety of administrative support functions for Academic Area programs. This includes planning, supporting, and liaising with coordinators, faculty, Dean, the Registrar’s Office, various college departments, and external stakeholders. The incumbent provides support for the students. Specific duties include, but are not limited to:
- Handling program-specific inquiries
- Providing information, and assistance regarding program and college procedures, the application process, and program requirements.
- Acting as a point of contact for faculty and coordinators
- As required by regulating bodies

preparing documentation for successful students/candidates
tracking and maintaining student attendance and records

- Reviewing, recording, and filing final exams
- Assisting in solving timetable conflicts in conjunction with program areas and scheduling staff
- Coordinating information in preparation of academic meetings (i.e. marks)
- Entering student information (i.e. marks) into the student information system
- Providing administrative and general office support to the Academic program area - Coordinators, and faculty regarding day to day office routines e.g. drafts correspondence, etc.
- Assisting with orientation of new faculty to academic area, Owen Sound Campus and the college
- Assisting with Academic Cycle processes as required (i.e. compiling course requests)
- Organizing and ordering office supplies
- Processing financial transactions/budget items (i.e. cheque requisitions, purchase orders and accounts payables) ensuring expenses are attributed to proper budget accounts
- Preparing booklists each semester for all credit courses (both full-time and part-time studies)
- Generating and distributing reports (i.e. Academic Progression, class lists, etc.) using the student information syste
- Updating and maintaining annual program planners
- Coordinating survey processes (i.e. KPI and faculty student survey, etc.)
- Organizing and coordinating the logistics for meetings (i.e. Curriculum, Advisory Committees, etc.) which includes:
- Agenda planning, room set-up, minute taking, generating and distributing minutes, maintaining membership lists, organizing catering orders, R.S.V.P. responses, and action item follow up as appropriate
- Coordinating details of special event functions under the direction of the Dean, coordinators, and/or facult
- Assisting with the organization and coordination of award presentations which includes:
- Compiling student information for the Dean as required, sending award recipient information to appropriate stakeholders, etc.
QUALIFICATIONS:
- Successfully completed a one-year postsecondary certificate in a relevant field of study that may include, but is not limited to office administration or business
- Two years’ experience in an office environment providing administrative and general office support (i.e. ordering office supplies, faxing and photocopying, etc.)
- Experience with Marine post-secondary programs, Power Engineering, and Apprenticeship programs preferred
- Experience in a frontline customer service role acting as a first point of contact in an office environment that required problem solving and conflict resolution skills
- Experience with data entry and pulling reports from a database
- Experience providing committee support and taking minutes
- Computer skills and experience using Microsoft Office Suite (Outlook, Excel, Word, etc.) to answer inquiries, and prepare and maintain information (i.e. contact lists, correspondence, etc.). Proficient in Excel, Word and other computer applications preferred (Microsoft Forms, Sharepoint, Teams, OneDrive, etc.)
- Communication (written and oral) and interpersonal skills to answer inquiries and draft documents
- Organizational and time management skills with the ability to multi-task to provide day-to-day support while meeting special project deadlines
- The ability to be accurate and detail oriented in order to compile / organize information, prepare reports, and input data
- Proven ability to work independently or within a team environment
- Experience in an academic institution using a student information system (preferably Banner) is an asset
