Salary: $5,491 – 5,719 – 5,957 – 6,200 – 6,460/month (2024 Rates)

Schedule: 70 hours bi-weekly; Monday to Friday from 8:00 AM – 4:45 PM (Nine-Day Fortnight)

This position works in the Development Services – Engineering organizational unit. This is supervisory and administrative support work in coordinating and processing project documentation. An incumbent coordinates and carries out clerical processing of project files; inputs project funding and schedules; monitors accounts, tracks costs and updates records in a variety of systems; reviews and validates invoices using information supplied by consultants, project managers and other staff. Prepares and maintains Development Services financial records, forms and files relating to rezoning, subdivision and building permit application. Verifies data contained in project plans and contract schedules; monitors status of project files, funding and payments in the database; drafts contract packages based on instructions from project managers; acts as the conduit for information exchange between Procurement Services and project managers. Other responsibilities include reviewing contracts and payments for accuracy and compliance according to City standards; monitors the integrity of systems data to ensure it matches project documentation; reviews open work orders, checks with appropriate authority regarding contract milestones and assists Finance with asset capitalization. Prepares and maintains templates for project documentation; compiles and uploads large volumes of project information/data/drawings used by the Department and external stakeholders. Plans, assigns, reviews and supervises the work of one or more subordinates engaged in related work; communicates directly with developers and internal and external contacts on behalf of the division regarding these files; provides information, guidance and assistance to staff, the public, consultants, contractors and other agencies on departmental requirements, policies and related matters. Performs related work as required.

Qualifications include completion of Grade 12 including or supplemented by technical courses related to the work and considerable related experience or an equivalent combination of education, training and experience. Considerable knowledge of methods, practices, techniques and business processes as they relate to work performed. An incumbent will have sound knowledge of SAP, MS Project, Geographic Information System (GIS), Hansen Maintenance Management System, and Master Municipal Construction Documents (MMCD). Ability to organize, input and monitor project documentation such as the development financial process, development bonding, and fees and letters of credit; to record and monitor funding and expenditures, draft and process tender packages, and review and process invoices. A Project Office Coordinator will have the ability to find, compile, download and record data/information and to draft and maintain various reports and records; to plan, assign, review, prioritize and supervise the work of one or more subordinates engaged in related work. Ability to meet and deal effectively with a variety of internal and external contacts and to communicate effectively orally and in writing; along with the ability to operate office equipment and use software applications such as Energov. A Driver’s License for the Province of British Columbia is required.

This is a temporary full time opportunity until December 31, 2026.
