About the Role
As an Executive Sales Support Assistant, you will play a vital role in ensuring that every solar installation project meets company, regulatory, and customer standards. You will act as a key link between the sales, operations, and compliance teams, ensuring projects transition smoothly from proposal to completion while maintaining accuracy, documentation integrity, and customer satisfaction.
This role is ideal for someone who thrives, fast-paced environment and is confident in taking on challenging new projects and takes advantage of opportunities to learn.
Key Responsibilities
- Act as the main point of contact between internal teams, external consultants, and clients to ensure alignment across all project stages.
- Track project timelines and deliverables, following up with stakeholders to ensure on-time completion.
- Support sales and operations with proposals, document collection, and data verification.
- Analyze utility (hydro) bills and project data to confirm accuracy and completeness.
- Prepare project and compliance reports, highlighting key milestones and risks.
- Respond to client and team inquiries with professionalism and accuracy.
- Coordinate cross-departmental efforts to resolve challenges and meet project goals.
- Stay informed on industry trends to implement best practices in project management.
- Provide high-level administrative support to executives, including calendar management, meeting coordination, travel arrangements, and correspondence.
- Prepare, review, and maintain accurate documentation such as contracts, proposals, reports, and presentations.
- Compile, analyze, and present data or metrics to support business decisions and monitor performance.
- Handle sensitive information with discretion and professionalism.
Must Haves
- Proven experience in project coordination, administration, or customer service within a technical, digital, or operations-driven environment.
- Strong communication skills — both written and verbal — with a professional and polished demeanor
- Ability to manage multiple concurrent projects and meet deadlines in a dynamic setting.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and comfortable navigating project management systems.
- Willingness to work flexible hours when needed to meet project or client demands.
- Ability to maintain confidentiality and handle sensitive information with discretion
- High attention to detail and accuracy in handling documents, reports, and correspondence
