The key responsibilities of the role are:
Supporting the Business
- Corresponds with stakeholders in maintaining quality client and matter data in Progress
- Provides training and support to new users accessing Progress or to existing users as needed
- Responds to firm member's requests for client term documents such as engagement letters and client guidelines
- Reminds the lawyers and other stakeholders of upcoming client rate/fee agreement expiry dates and other financial deadlines
- Collaborates with various departments including the IP practice group, various business service teams, managers and programmers
- Generate term data or term document reports as requested
- Work with other team leads and staff as well as end-users to support and evolve BLG systems
- Undertake other special projects and duties as assigned
Client and Financial Data Management
- Opens new client screens in our IP Practice Management System and manages the client intake process
- Updates database with client changes
- Maintains IP client instructions including self-directed research to ensure the accuracy of information
- Assists with financial updates, queries and supports in the resolution of invoicing issues
- Manages e-billing client system set-ups and the resolution of billing rejections
- Manages set-up and maintenance of client discounts and special rates
- Maintains time and charge codes required for billing and alternate fee arrangements
- Produces advanced client, matter, financial and system reports
Systems Management, Enhancements & Process Improvements
- Updates and maintains the IP Practice Management System
- Responsible for ensuring accuracy; completeness and integrity of the information
- Provides end user support for our IP Practice Management System and escalates issues to programmers and IT as needed
- Often acting as early adopters or testers for new software technologies and upgrades
- Undertake other special projects and duties as assigned
- Prepares and maintains technical, operational and procedural documentation
The expected salary range for this position is $60,000 - $70,000, depending on level of experience, region/location, and other factors.
