About this team: Consisting of 36 beds, our ICU is a level 3 unit that also cares for level 2 patients, serving a diverse patient population including obstetrical, oncology, medicine, and surgical patients. This unit uses a pod-based design to facilitate efficient care delivery and teamwork, alongside advanced technology for patient care and monitoring. The facility is designed with large windows for natural light, and there is a negative pressure pod and six isolation rooms to control infections. Practical amenities are also provided, including a lounge, kitchenette, shower, and quiet rooms for families and caregivers. In support of ongoing education, there is an education room equipped with a simulation mannequin.
In this role you will:
- Receive, greet and screen patients/families/visitors arriving to the unit
- Coordinate admissions, discharges and transfers within and external to the department
- Process patient appointments (i.e. outpatient clinic referrals, outpatient diagnostic imaging tests)
- Compile patient information and disassemble charts for Health Records
- Oversee patient charts on the unit and for quality assurance purposes
- Utilize electronic systems to capture length of stay information pertinent to the patient’s journey
- Provide overall administrative support (i.e. answering/directing incoming telephone calls, updating whiteboards, photocopying, faxing, ordering of supplies, word processing)
- Provide customer service to patients and visitors by answering questions and assisting with wayfinding
- Coordinate the sterilization or repair of medical and office equipment.
- Collaborate with the Help Desk and Building Services around routine maintenance and requests
- Participate in activities to upgrade and enhance one's job-related knowledge/skills through in-service training sessions, quality improvement initiatives, and policy manual review
- Assist with the orientation of new Ward Clerks
- Enter data in relevant information systems as required
- Perform other duties consistent with the job classification as required

Successful completion of a diploma or degree from an accredited educational institution with preference given to those who have graduated from a secretarial studies program

1 year of experience in related field

Proficiency with Patient Care Systems

Proficiency with Microsoft Office including Word, Excel and Outlook

Minimum 40 wpm keyboarding/data entry speed

Proven flexibility, initiative, organizational and problem solving/decision-making skills

Demonstrated ability to effectively interact with all levels of staff, patients and their families, as well as a team member both intra and interdepartmentally

Skilled at setting priorities and handling multiple tasks simultaneously

Demonstrated ability to communicate and read using English in order to effectively perform essential requirements of this position

Demonstrated satisfactory work performance and attendance history
