Position Description

The Project Coordinator will report to the Operations Manager Projects and will be responsible for supporting mass timber construction projects and scaling Mercer Mass Timber Projects Division. This role is key in the success of each project. You’ll be tasked with managing; project submittals, RFI’s, schedules, and pre-construction activities along with supporting the Project Manager(s). Your ability to multitask, drive assigned tasks and is essential for achieving project objectives. Successful collaboration with your team of professionals will be a cornerstone of the project’s overall success and the scaling of Mercer Mass Timber Construction Services.

Responsibilities

  • Maintain and update drawings, specifications, and logs; ensure proper filing, archiving, and accessibility; and distribute documents (including RFPs and updated drawings) to relevant project team members and subcontractors.
  • Collect all required submittal logs from vendors, subcontractors, and trade partners, and submit necessary information to the Owner or General Contractor.
  • Manage the project Request for Information (RFI) process.
  • Administer project financial controls.
  • Manage project billing and payment processes.
  • Handle comprehensive vendor and subcontractor engagement.
  • Ensure project contract compliance.
  • Facilitate project coordination and communication.
  • Assist with project planning and scheduling.
  • Track and analyze labor performance.
  • Support pre-construction and estimating efforts.
  • Archive and maintain records of all critical project occurrences, such as accidents, delays, and Change Orders.
  • Complete all job close-out procedures, including retention processes as applicable.
  • Cultivate positive relationships with the General Contractor, Owner, Architect, Engineer of Record, and Subcontractors.
  • Other duties as assigned.

Qualifications And Experience

  • A Bachelor’s degree in Construction Management, Engineering, Architecture, or a related field is preferred.
  • 3-5+ years of experience in a Project Coordinator, Assistant Project Manager, or similar role within the construction, manufacturing, or fabrication industry.
  • Demonstrated experience in document control and management, specifically with construction drawings, specifications, RFIs, and submittals.
  • Proven experience with project financial tracking, including managing cost ledgers, assisting with change orders, and understanding billing/lien waiver processes.
  • Hands-on experience with project scheduling and logistics planning.
  • Experience in coordinating with various project stakeholders, including owners, general contractors, subcontractors, vendors, and internal design/manufacturing teams.

Salary & Benefits

  • The salary for this position is $55,000 – $65,000. Salary will be commensurate with education and experience.
  • Our group benefits package, which has no waiting period, includes extended health and dental benefits, in addition to a Health Care Spending Account and a fitness allowance.
  • RRSP – We provide a competitive RRSP contribution plan, with base contributions made by Mercer which can be supplemented with personal contributions matched by the company up to a certain %.
