Position Summary
Reporting to the Administration Lead, the Retail Food & Beverage Administrative Assistant role is multi-faceted and instrumental in keeping venues operating to their fullest potential. The Administrative team assists managers and co-workers with a variety of administrative tasks.
These positions are casual-part-time positions that will require the successful candidates to work flexible hours throughout the week and on weekends.
Responsibilities
Duties and/or areas of focus can include, but are not limited to, the following:
Controller's Office
- Utilizing data entry skills to review and reconcile all available information on count sheets.
- Review all bar sheets ensuring accuracy and potential reconciliation.
- Review all food stock sheets ensuring accuracy and potential reconciliation.
- Distribute tip out amounts to bartenders.
- Communicate clearly with the Administrative Team Lead regarding any possible concerns with the revenue reporting process.
- Report any challenges or concerns as soon as possible so they can be looked at in a timely manner.
F&B Office
- General administrative duties.
- Being able to answer staff members general questions: by phone, e-mail, and verbally.
- Checking staff in for their shifts: event/floor supervisors, station supervisors, and bartenders.
- Following up with those that did not show up for their shifts.
- Signing out & in keys, bar kits, and radios etc.
- Handing out appropriate paperwork to staff: bar sheets, food stand packages, and hawker packages.
- Ensuring that all paperwork and assigned documentation is received, complete, and readable at the end of each shift. Use checklist.
- Tracking any staff shift requests and changes.
- Preparing paperwork and stand packages for next day.
- Making any minor scheduling changes as needed.
- Monitor and order office supplies.
- Other projects as assigned.
Qualifications
The ideal candidate will be proactive, optimistic and have administrative or clerical office experience as well as:
- Provide excellent customer service and consistently demonstrate professionalism.
- One year of related professional services or client services experience.
- Strong verbal and interpersonal communication skills, ability to communicate in a clear concise manner.
- Ability to multitask and meet strict deadlines in a fast-paced environment.
- Excellent attention to detail and dedication to quality.
- Ability to adapt to evolving changes.
- Self-starter, shows initiative, self-motivated.
- Advanced knowledge of the Excel and Word.
- Basic accounting skills
