Qualifications
MINIMUM FORMAL EDUCATION/TRAINING REQUIRED:
- PhD in Arts Administration, Theatre Production/Technical Theater, Music, Event Management, or in a related study area with three years = directly-related experience.
OR
- Masters degree in related study area with five years = directly-related experience
OR
- Bachelors degree in related study area with seven years = related experience.
EXPERIENCE:
- Five to seven years of directly related experience within a concert hall or similar performance venue.
- Two years of experience in a supervisory role.
- Familiarity with concert hall acoustics, stage lighting, and professional audio-visual systems. Proficiency in operating and troubleshooting audio, lighting, and visual equipment is an asset.
- Strong knowledge of computer usage, including experience with Microsoft and Adobe software.
- Leadership experience in managing technical teams is required.
- Experience working in a unionized environment is an asset.
- A strong network within the Winnipeg arts scene is an asset, as is the ability to build lasting professional partnerships.
- An acceptable equivalent combination of education and experience may be considered.

Key responsibilities
OPERATIONS AND FACILITIES:
- Responsible for the overall supervision, operation, and coordination of the day-to-day complex operations of the Desautels Concert Hall.
- Serve as the primary point of contact for all Desautels Concert Hall events including internal (faculty, student ensembles, and other university activities) and external bookings.
- Develop and maintain a master calendar that prioritizes and supports academic requirements while maximizing revenue through commercial and community rentals.
- Foster an inclusive environment that makes possible the showcasing of a diverse range of musical genres and cultural traditions.
- Manage the logistics of high-profile university events.
- Responsible for the preparation of all events and performances within the hall including confirming contracts, anticipating equipment requirements, ensuring scheduling conflicts are prevented, scheduling front and back of house staff, etc.
- Negotiate and creates contracts, technical riders, rental rates, and service agreements for the space and its equipment.
- Provides external rental information to the Finance Administrator for Accounts Receivable invoice processing.
- Manages production documentation and stage plots.
- Works with the Business Manager to develop and redefine new policies and procedures to establish and maintain quality control standards regarding the internal and external requests and use of the facility.
- Communicates general information and new policies to staff, students, renters, etc.
- Prepares administrative and technical reports at the request of the Dean and Business Manager.
- Works with the Business Manager to plan and estimate financial resources required for projects and operations.
- Analyzes processes and recommends changes to the Business Manager for more efficient coordination of operations.
- Assess areas of long-term focus, including partnership opportunities, collaborations, recording projects, etc.
- Conducts routine inspections of the Concert Hall and ensures that building maintenance issues are reported.
- Ensures the efficient caretaking of the facilities by ensuring any caretaking issues are addressed.
- Ensures the inspection of the facilities and equipment in accordance with the fire safety and risk management plan/policies, and ensures the required follow-up.
- Acts as first point of contact and emergency contact for any building, maintenance, access, caretaking, delivery, and safety issues in the Desautels Concert Hall.
- Works with the Business Manager to ensure general upkeep and maintenance of the hall, including, but not limited to, renovations or capital improvement projects.
- Manages key assignments and ensures that a database/key control procedure is properly maintained.
- Upholds DFoM and University Policy.
EQUIPMENT INVENTORY & MAINTENANCE:
- Makes recommendations to the Dean and Business Manager regarding purchase, disposal, and repair of the Desautels Concert Hall equipment.
- Coordinates and maintains an inventory of equipment, furnishings and supplies for the Desautels Concert Hall.
- Coordinates expenditures of equipment and maintenance; ensures spending remains within budget.
- Oversees the maintenance, security, and long-term capital improvement of the venue’s acoustic and technical infrastructure.
- Ensures that all equipment and furnishings are managed according to the University of Manitoba Capital Asset policy (completing Asset Disposal forms, recording the disposal in the database, and filing the report).
- Responsible for scheduling piano tuning maintenance.
- Receives and processes all purchase and repair requests regarding equipment and instruments according to the University of Manitoba Purchasing Policy.
- Responsible for completing Incident Reports documenting loss, theft, or damage. All reports are to be sent to the Dean, Business Manager, and Security as appropriate.
- In coordination with Technicians, analyzes technical operation activities and recommending changes for improvement.
- In coordination with Technicians, provides technical support on all equipment (audio visual, lighting, sound, etc.) as needed.
- Responsible for the operation and maintenance of the hall’s specialized equipment that requires extensive theoretical and practical knowledge.
- Oversees the production of instructional materials for the equipment ensuring materials are up to date, and provides training on its use and operation to staff.
- Provides information and guidance to internal and external users regarding available resources, equipment, processes, and operational requirements.
- Serves as primary contact for vendors supplying equipment loans andrentals.
STAFFING AND SUPERVISION:
- Oversee Box Office operations and front-of-house revenue streams.
- Ensures event staff are scheduled for rehearsals and live performances, troubleshooting technical issues as they arise.
- Supervises technical staff, front-of-house managers, and student staff to ensure seamless execution of events.
- Process timesheets and verify time submitted each week and conducts regular performance appraisals for Desuatels Concert Hall staff.
- May be required to preform related duties not exceeding skills and capabilities as required.
