We’re looking for an Administrative Coordinator to join our head office located in Vernon, British Columbia. Our head office houses Tolko’s corporate services groups including Sales, Marketing & Logistics, Finance, Accounting & Credit, IT, Procurement, Human Resources, and Corporate Administration.

Our ideal candidate has the following qualifications:

  • Excellent time management, organizational, and communication skills (both oral and written).
  • Proven ability to excel at details, multi-tasking, and working under pressure with frequent interruptions.
  • Experienced in the use of software programs such as Outlook, MS Word, and Excel. Experience using JDE, CHUBB, and TELUS IQ is an asset.
  • Capacity to manage sensitive and confidential information with integrity and discretion.
  • Strong organizational skills and the ability to negotiate pricing and place orders for office stationary and mobility hardware.
  • Drive to learn the business, understand and proactively contribute to business objectives.
  • Ability to make recommendations for process improvements to assigned duties and work environment.
In this role, you will:
  • Oversee the companywide Mobility program, including device management, bill reconciliation, travel plan administration, and user support.

  • Administer fuel card programs (Petro Pass, VO Petro Canada/Suncor), including invoicing, payroll deductions, card issuance, and publication order approvals.

  • Manage office operations: process invoices (Building Maintenance, Communications), maintain office supply inventory, coordinate mail/courier services, and handle bank deposits.

  • Organize and coordinate company events (e.g., annual Christmas Luncheon), negotiate vendor agreements, and arrange catering for meetings/functions.

  • Provide administrative support for the Safety/First Aid Committee, ensuring compliance, valid certifications, and course registrations.

  • Assist with vehicle fleet management, including lease payments, insurance, plate renewals, and database upkeep.

  • Administer the Corporate Visa Program (card issuance, onboarding/offboarding, cardholder communication) and support budget management for the Admin Department.

  • Support onboarding of new employees, prepare materials for meetings/training, conduct vendor research/cost comparisons, and respond to staff administrative requests as needed.
