About the role

The Department of Surgery in the Cumming School of Medicine invites applications for a Project Coordinator. ThisPart-time Fixed Term position is for approximately 12 months (based on length of grant funding), with the possibility of extension.

This position reports to the Principal Investigator.

The primary purpose of this role is to support the department head, along with the department manager, to complete task and duties as required within the Department of Surgery, University of Calgary. This role will be the coordinator for all duties and task relating to the department's mandate to support the Cumming School of Medicine.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Build project (short and long term) schedules and budget plans with the Department Manager for University of Calgary funds in the Department
  • Manage University of Calgary funds in the Department; This may include but not limited to coordinating any applicable granting/funding agency policies, reviewing salaries, accounts and variance reports
  • Liaison with third parties: The project manager will have to work with Alberta Health Services, Research and Accounting, administration of Tri-council and non tri-council agencies, Foundations at local, provincial, regional and national levels, philanthropy
  • Assist in preparation of documents for recruitment, promotion, and awards within the University and other academic agencies
  • Assist in the recruitment process of academic positions
  • Assist and lead events pertaining to the academic mission of the Department; examples include but not limited to, Surgeon's day, Fellows research symposium, promotions and awards recognition, retreats, University Chair responsibilities
  • Assist in projects based on particular needs at the time for the Department; past examples include the redeployment of personnel during extraordinary circumstances such as COVID-19, writing a document for Department needs in the Alberta Surgical Initiative

Qualifications / Requirements:

  • Bachelor or higher degree in science or health field
  • Minimum of 3 years related experience and completion of post secondary education in related discipline
  • Experience in the healthcare field and university setting considered an asset
  • Excellent writing and editing skills. Technical writing skills would be considered
  • Strong communication, organizational, time management and problem solving skills
  • Proficiency in a Windows environment using MS Office applications, Peoplesoft
  • Previous work in the University of Calgary
  • Tact, diplomacy and good judgment in dealing with third parties required
  • Proficient working knowledge of the MS Office suite
  • Extensive knowledge of theory and practical application of research policies and procedures
  • Ability to plan and direct research and administrative activities within a team environment
  • Ability to provide support to other members of the team and related units or teams
  • Ability to manage and determine priorities
  • Strong analytical reasoning skills and decision making skills are essential
