The Opportunity
We’re looking for a skilled, proactive, and highly organized Operations & Sales Coordinator who wants to work behind the scenes of world-class events — helping us stay organized, scalable, and client-ready at all times.
You’ll be the right hand to the founder, responsible for backend operations, scheduling staff, responding to client inquiries, managing CRM automation, and helping scale our agency's infrastructure and capacity.
What You'll Be Doing
- Client Communications – Respond to inbound leads, follow up, and coordinate bookings
- Staff Scheduling – Assign photo booth attendants, photographers, DJs, and activation team members to events across Canada
- Operations Management – Oversee inbox, proposals, confirmations, timelines, and weekly schedules
- Automation & CRM – Manage GoHighLevel CRM, handle automations, tagging, pipeline stages, and follow-ups
- Creative Coordination – Collaborate with the founder and VA (handling graphics, marketing, biz dev)
- Performance Tracking – Report weekly results, staff updates, and lead activity to the founder
Who We're Looking For
- Strong communicator with admin and client coordination experience
- Background in events, operations, marketing, or media production
- Highly organized, proactive, and able to manage multiple moving pieces
- Experience with Google Suite, CRMs (GoHighLevel is a plus), Canva, project management tools
- Based in Toronto or familiar with the Canadian event market
- Bonus if you've worked in photo/video production, branded activations, or creative agencies
Job Details
- Position: Remote
- Location: Must be Toronto-based or able to work Eastern time hours
- Hours: Monday–Friday, 9:00 AM to 3:00 PM (120 hours/month)
- Start Date: Immediate
- Type: Part-time (with growth potential into full-time)
Compensation
- 3.5% on all sales up to $10,000/month
- 5% on sales over $10,000
- 7% on any deals you close directly
- Bonuses:
- $250 bonus for booking 10+ events/month
- $500 quarterly bonus if targets are exceeded
- Additional bonuses for high-ticket add-ons (360 booths, full branding packages)
