The Program Assistant is a key support position to help ensure program operations run smoothly and helps create a positive atmosphere to enhance a collaborative environment for staff and students. This position reports to the Academic Strategy Operations Manager/Administrative Team Lead and primarily provides administrative supports to the Academic Chair and Associate Chairs with their daily academic activities to ensure the smooth and efficient operation of the program(s)’ administrative functions. The Program Assistant also works closely with Program Instructors, Technicians/Technologists as well as with cross campus support and service areas such as Student Advising, and the Registrar’s Office. This position will be split between two campuses: NAIT Main and Souch Campus however primarily located at Main Campus. Key Responsibilities: Prepare office correspondence and data reports using Microsoft Office Suite, electronic mail system, and/or to program-specific software. Assist the Manufacturing Sciences and Industrial Automation & Design programs in coordinating and completing projects. Provide administrative support for standing program and school meetings. Manage and maintain program records (electronic and paper) Create, review, and revise program materials; prepare reports and documents as requested. Support student selection and enrolment management strategies using Campus Solutions Assist with annual tasks for compliance requirements for program accreditation. Plan and organize school and program-specific events. Program/school responsibilities as assigned. General office administration and front desk duties including arranging office equipment servicing (i.e. scantrons, printers/photocopiers). Skills & Abilities Strong Organizational Skills: Exhibit effective time management, prioritization, attention to detail, and organizational skills. Advanced Microsoft Office Suite product knowledge is required. Self-Starter: Proactive with a strong sense of ownership; identifies opportunities and drives improvements. Team Player: Collaborate effectively with cross-functional teams. Be an outward-facing representative of our programs, fostering positive relationships with staff, students and, and stakeholders. Effective Problem-Solving Skills: Demonstrate the ability to analyze and solve complex challenges. Willingness to Learn: Embrace the opportunity to constantly expand your knowledge base through continuous learning and attend training sessions and workshops to enhance your skills. Adaptability: Be ready to pivot daily and take on new challenges with the team. Technology Curiosity: Brings a genuine curiosity about technology, with an eagerness to explore, learn, and evolve alongside new tools. Ability to lift up to 11 kg (25 lbs). Qualifications Completion of Grade Twelve. Diploma in Business or Office Administration or other related discipline. Experience in an administrative role. Experience with PeopleSoft Student Administration (Campus Solutions) would be an asset. An equivalent combination of education and experience may be considered. Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services (WES), International Qualifications Assessment Service (IQAS) or the Comparative Education Services (CES). Classification – Administrative Support IV This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement. Remuneration Refer to salary range noted on this posting, plus a comprehensive benefits package.
