As Intermediate Administrative Assistant, you will provide intermediate administrative support assigned to a vast array of leaders and teams within Water Services and Water Resources. A strong level of business knowledge is required to assist with the efficient and successful operational requirements. Well-developed interpersonal and organizational skills are necessary to liaise with divisional staff, other employees within the department, other business units within the Corporation and external clients. Primary duties include:
- Manage the front reception area of the Bonnybrook Administration and Lab Building.
- Interact with visitors, tradesman, contractors, consultants, engineering staff and senior management.
- Receive and distribute mail from and to the Control Building at the Bonnybrook Plant.
- Accept small incoming package deliveries and coordinate courier services.
- Answer and direct incoming Wastewater Treatment plant phone calls and 311 inquiries.
- Perform data-entry of direct charges and document management using Oracle WAM, Enterprise Connect and Adobe Acrobat Pro.
- Provide calendar, meeting and email management support for the leadership teams including preparing and circulating meeting agendas, taking minutes and distributing as required.
- Provide Accounts Payable workflow support, create rechargeable invoices, tracking invoice payments and reconciling match exceptions with Supply Management.
- Provide support to staff with administrative forms and processes, type correspondence, documents, reports, presentations and spreadsheets.
- Provide general administrative support including filing, ordering office supplies, onboarding of staff, space management and monitoring consumables for the area photocopier, printer, fax machine and arranging for maintenance and repairs as required.
Qualifications
- A High school diploma or equivalency (e.g., GED or CAEC [Canadian Adult Education Certificate]) and at least 4 years of related experience; OR
- A completed 1 year certificate in business administration and at least 2 years of related experience.
- Intermediate level of proficiency in Microsoft Office (Excel, Outlook, PowerPoint and Word) is required.
- Previous experience with Finance & Supply Chain Management (FSCM), Physical Objects, Content Server, SharePoint and 311 Customer Service experience will be considered assets.
- Success in this position requires good customer service and teamwork, excellent communication, strong planning and organizing skills and the ability to multi task while maintaining accuracy.
