About the role

Responsibilities

  • Maintains staff schedules using a master rotation and ensures compliance with the company policies.
  • Schedules coverage for absences such as leaves of absence or shift gaps.
  • Posts call-in lists and distributes finalized schedules.
  • Responds to inquiries from staff and management regarding scheduling issues.
  • Updates staff information in the scheduling system (when implemented).
  • Collects, verifies, and inputs payroll data confidentially and accurately.
  • Reviews and corrects timecards; approves biweekly submissions.
  • Communicates with payroll to report pay code updates and staffing changes.
  • Answers employee questions about payroll and benefits.
  • Maintains up-to-date and accurate filing of payroll records.
  • Greets residents, families, visitors, and vendors in a professional and welcoming manner.
  • Answers, screens, and directs incoming calls; takes and relays messages promptly.
  • Monitors visitor sign‑in procedures and ensures compliance with safety and infection‑control protocols.
  • Provides general information and customer service to residents, families, and the public.
  • Manages front‑desk email inboxes and distributes communication to appropriate team members.
  • Assists with organizing courier deliveries, mail distribution, and incoming/outgoing documents.
  • Supports administrative functions such as copying, scanning, filing, data entry, and form completion.
  • Maintains a clean, organized, and professional reception area.
  • Provides administrative support to site leadership as required.

Qualifications and Education Requirements

  • Health Care Aide certificate (or equivalent) from an accredited institution
  • CPR/BCLS for healthcare provider required & registration with the HCA directory
  • Clear police information check within 6 months
  • Demonstrated skills in communication, teamwork, organizational and customer service, and the ability to problem solve through critical thinking and self-education
  • High attention to detail and thoroughness**,** and demonstrated knowledge and commitment to person-centered care
  • Awareness of accident and injury prevention, hazard identification and control; adherence to safe work practices and procedures is essential in this position

Other Bona-Fide Occupational Requirements

  • Physically and mentally fit to perform the duties of the position (may be required to lift, move, push, or pull objects weighing up to 20 kilograms)
  • Ability to work on his/her feet for a complete shift while constantly bending, stretching, walking, lifting or moving things
