About the role

The Programs and Training Administrator position ensures the smooth running of our in-person training season, so our staff start camp ready to inspire kids to believe in themselves. This role is about excellent planning, organization, attention-to-detail, and communication to execute 200+ training sessions across all our operating regions from March to July. We are looking for someone to support and maintain solid processes that can handle the volume of our training season, who has exceptional diligence for tasks and deadlines, and really owns how their role impacts the quality of our programs.

Duties and responsibilities

In-Person Training

  • Support Programs & Training with the implementation of departmental updates to resources and processes.
  • Assist with the planning and scheduling of in-person training.
  • Assist with the hiring and onboarding of Trainers.
  • Create and maintain resources to support the scheduling of in-person training season.
  • Create and maintain guides on training processes, including written instructions and video guides.
  • Review training content and guides.
  • Update shadow shifts for the Swim program.
  • Book travel and accommodation for Trainers.
  • Communicate Trainer schedules and send reminder emails.
  • Approve payroll for in-person training. Bi-weekly.
  • Support the delivery of in-person training (preferred).

Online Training

  • Provide administrative support in the Learning Management System to ensure all employees have access to what they need to complete online training.
  • Complete online training payroll bi-weekly for all programs active in our Learning Management System and resolve any missing pay queries.
  • Review the training content.

Programs & Training Helpdesk

  • Oversee the Programs & Training Helpdesk and inbox. Resolve or escalate:
    • User problems in the LMS.
    • Missing pay queries.

Other duties as assigned, including but not limited to:

  • Attend camps during operating weeks.
  • Prepare and send the weekly Camp Leader newsletter.
  • Review results of training season, e.g. metrics and survey results.
  • Update and format company-wide documents.
  • Run the theme day contests in conjunction with P&C.

Qualifications

  • Post-secondary education in Sports Recreation, Education, Human Resources, or;
    • Equivalent work experience in administration, recreation, education, HR, project management or planning.
  • Experience using Microsoft Office applications, including Excel, Word, SharePoint, and Teams.
  • Available for occasional weekend work, especially May to June.

Assets (but not required)

  • Previous experience in Pedalheads, ideally Training, Operations, Recruitment or Scheduling.
  • Experience with software platforms:
    • ADP
  • HubSpot
  • Absorb (or other LMS)
  • Valid driver’s license.
  • Preference for candidate based in Metro Vancouver, BC.

PAY AND PERKS

The successful candidate will be paid an annual salary of $55,000 to $60,000, commensurate with experience, based on a 40-hour work week.

This position is based out of our Vancouver Head Office. This is a temporary position to cover a maternity leave for a period of up to 18 months, or until the return of the employee currently on leave, whichever occurs first.
