Role: Intern/Consultant - Admin & Facilities
Experience Level: 1-2 years of experience
Work Location: Fredericton, NB
Role Overview:
We are seeking a proactive and organized Admin & Facilities Consultant to support day-to-day administrative operations and facility management at our Fredericton office. The ideal candidate will be responsible for maintaining office infrastructure, coordinating vendors, managing operational logistics, and ensuring a smooth and efficient workplace environment.
Key Responsibilities:
- Manage administrative operations including procurement of equipment, facility maintenance, housekeeping, safety, and security.
- Support office procurement processes including purchasing equipment, supplies, and services required for daily operations.
- Prepare and maintain monthly financial reports related to office infrastructure and facilities management.
- Assist with budgeting activities, monitor expenses against budgets, and support cost optimization initiatives.
- Manage vendor relationships and contracts, ensuring timely delivery of services and adherence to agreements.
- Oversee maintenance, repair, and replacement of office equipment, furniture, appliances, vehicles, and facilities.
- Coordinate the installation and operation of facility systems including IT equipment, security and surveillance systems, and air conditioning.
- Ensure proper documentation, process compliance, and adherence to internal business control checks and audits.
- Monitor statutory and regulatory compliance related to facilities and administrative operations.
- Maintain and manage asset inventories across site operations and multiple office locations.
- Coordinate corporate events, internal meetings, conferences, and travel arrangements including hotel reservations for visitors and international guests.
- Liaise with internal departments and branch offices to support operational and administrative needs.
- Maintain office facilities and ensure availability of day-to-day operational supplies to support a productive work environment.
- Act as the central point of contact for administrative inquiries and oversee functions such as stationery inventory, petty cash, courier services, pest control, housekeeping, and other office services.
Basic Qualifications:
- 1–2 years of experience in administration, office management, or facilities management .
- Working knowledge of office equipment including printers, audio/video systems, TVs, and access control systems.
- Proficiency with Google Workspace (Docs, Sheets, Slides) and basic IT knowledge including laptop setup and troubleshooting.
- Experience coordinating vendors, courier services, purchasing, event planning, and meeting logistics.
- Strong organizational, multitasking, and problem-solving skills.
- Excellent communication and coordination skills.
- Customer-focused mindset with the ability to support a positive workplace experience.
