Exam Operations Coordinator

Full Time Temporary to March 26, 2027

Are you an organized and detail-oriented professional who thrives in a collaborative environment? We’re looking for an Exam Operations Coordinator to join our team and play a pivotal role in ensuring the seamless delivery of exams across Canada.

In this role, you’ll report to the Team Leader, Exam Operations and Administration, and act as a central connection point between key partners, including content development teams, training experts, exam sites, and psychometric and data science specialists. Your responsibilities will span the entire exam lifecycle—planning, administering, and processing—ensuring that all components are executed efficiently and effectively.

What you’ll do

  • Coordinate pre-, during-, and post-exam operational activities for computer-based exams, performance-based exams, and preparatory products.
  • Ensure systems, processes and platforms are configured, tested, and testing outputs are validated before each exam delivery or product launch.
  • Support registration, conduct scheduling checks, and capacity planning to optimize delivery and access for exams and products.
  • Prepare and validate exam materials to support vendor, exam site, and product readiness, including administrative policies, delivery guidelines, test requirements documents, score sheets packages.
  • Ensure timely responses to mailbox inquiries, triage and escalate as appropriate.
  • Validate and reconcile response data, score sheets, and incident reports from vendors, exam sites and product platforms, to ensure accuracy and completeness.
  • Collaborate with Business Technology (BT), vendors, and exam sites to troubleshoot technical or operational issues, ensuring reliable operation.
  • Maintain documentation in SharePoint/Teams for team accessibility.

What you need to succeed

Experience

  • Minimum of 1-3 years in an operational role, with experience in program coordination and systems administration.

Technical Skills

  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams).
  • Experience in documenting processes.
  • Familiarity with system administration and data management within enterprise environments is an asset.
  • Experience in performing User Acceptance Testing (UAT), quality assurance and troubleshooting an asset.

  • Ability to prioritize multiple tasks and manage time effectively within a fast-paced environment.

  • Strong documentation skills.
  • Ability to maintain confidentiality.

Education

  • Post-secondary education in administration, project coordinator or a related field.

Language

  • Advanced oral and written skills in English are required, with oral and written skills in French considered an asset.
